Job Summary

Reporting to both the Director of Admissions, Recruitment and Alumni Relations and the Director of Development, the Administrative Assistant plays an integral role in the administration functions of our Alumni Relations and Advancement teams, while supporting synergies between them.

Key Responsibilities

Administrative support for the Director of Admissions, Recruitment and Alumni Relations and the Director of Development. This includes, but is not limited to scheduling meetings and events, preparing meeting materials, booking travel, preparing reimbursement claims, fielding emails and calls and responding to routine inquiries. Prepare and circulate alumni and donor engagement communications on behalf of Schulich Law, provide administrative and research support for Hearsay magazine, and liaise with the Communications team as necessary. Monitor media services for alumni references regarding promotion, retirement and recognition and draft appropriate correspondence from the Dean and/or Director of Admissions, Recruitment and Alumni Relations to acknowledge. Pull from existing resources and conduct research to create briefing notes for the Director of Development and/or Dean on donors / prospects. Using a centralized internal database (CRM system), document, track and report donor and alumni engagement activities and information, run reports, conduct audits, and maintain confidential contact information.

Note

The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

Business/Office Administrative program with approximately three years’ related experience (or equivalent combination of training and experience). Proficiency in Microsoft Office (Outlook, Word, Excel). Demonstrated ability to prioritize and meet demands in a busy, deadline-driven environment with excellent attention to detail. Excellent interpersonal, communication (written and verbal) and organizational skills, and attention to detail.
