What You’ll Do:

Variety is the spice of life; no two days will be the same

Executive Support (45%): Support the Renewables and Power Grids leadership team with a wide range of activities, including: advancing strategic internal initiatives, preparing presentations, travel management, expense reports, invoice management, and enabling strong internal communications. 

Office Administration (25%): Ensuring the successful, safe, and amazing working conditions of the Montreal office, as well as liaises with other offices and internal DNV assistance functions. 

Tasks may include the following:

Oversee management of all office equipment and supplies, including local vendor management and maintenance, purchases of office supplies and furniture. Local culture management including birthday/anniversary parties, monthly events, and the annual office party.  Incoming mail/phone communications, shipments, visitor/courier management, office related shipping, building key card system, alarm system management, and assistance for remote employees. Serve as the office building representative in facilities administration on the QHSSE committee and maintain office health, safety, and compliance documentation, postings, and procedures; plan quarterly internal office HSE meeting. Direct administrative aspects of onboarding of new employees, in conjunction with HR and IT support services, including desk setup, access setup, equipment ordering, etc. Serve as a key member of the Administrative Team, collaborating and sharing ideas and knowledge base for consistent coverage and support.

Clerical Business and Market Support (30%): At DNV, our customers’ success is paramount to everything we do. In this role you will support the clerical and administrative efforts associated with processes, customers, proposals, subcontractors, and other business strategy. 

Activities may include:  

Support contracting in DNV’s internal tools, including SalesForce and TeamCentre. Support proposal development including the setup of the document based on RFP information, pulling together CVs and bios, and other general coordinating activities. Support with preparing PowerPoint presentations, Excel spreadsheets, or Word memos on market and technical topics.

Superviser la gestion de tout l'équipement et des fournitures de bureau, y compris la gestion et l'entretien des fournisseurs locaux, les achats de fournitures et de mobilier de bureau. Gestion de la culture locale, y compris les fêtes d'anniversaire, les événements mensuels et la fête de bureau annuelle. Communications entrantes par courrier/téléphone, expéditions, gestion des visiteurs/courriers, expédition liée au bureau, système de carte-clé du bâtiment, gestion du système d'alarme et assistance aux employés à distance. Agir en tant que représentant de l'immeuble de bureaux dans l'administration des installations au sein du comité QHSSE et tenir à jour la documentation, les affichages et les procédures en matière de santé, de sécurité et de conformité au bureau ; planifier une réunion trimestrielle interne du bureau HSE. Aspects administratifs directs de l'intégration des nouveaux employés, en conjonction avec les services de soutien RH et informatique, y compris l'installation du bureau, la configuration de l'accès, la commande d'équipement, etc. Servir de membre clé de l'équipe administrative, en collaborant et en partageant des idées et une base de connaissances pour une couverture et un soutien cohérents.

Soutien administratif aux entreprises et au marché (30 %) : Chez DNV, le succès de nos clients est primordial dans tout ce que nous faisons. What is Required

Degree in relevant field (such as business administration, environmental science, sustainability, engineering technology) or 3 years of relevant experience. 2 years of experience in a large and/or dynamic corporate environment working on core administrative tasks (., travel management, expense reports, calendar management, facilities coordination, .
