Finance and Administrative Coordinator, College of Medicine

Primary Purpose: To provide administrative and financial reporting support to the Department of Pediatrics.

Nature of Work: Reporting to the Finance and Administration Manager, this position will assist with departmental accounting and financial reporting duties as well as administrative and operational duties. This position interacts with a diverse group of individuals including faculty, staff, learners, other administrative units, and vendors. Requires excellent interpersonal skills, attention to detail in maintaining records and correspondence, a high level of efficiency, prioritization, accuracy and ability to meet deadlines and displaying a high level of professionalism and confidentiality. Work is performed with general supervision in a fast-paced environment, subject to multiple conflicting deadlines and priorities, with frequent interruptions.

Typical Duties or Accountabilities:

Provides support for the Finance and Administration Manager in delivering service to the entire Department Provides coverage for the Financial Coordinator and the Finance and Administration Manager where appropriate Work closely with all department staff and with various USask and SHA support teams  Assists in the preparation of financial reports and other financial documentation Investigates missing transaction information; tracks and follows up on action items Maintains electronic files for audit compliance Identify, source and ensure delivery of IT and office equipment for new faculty Point person for onboarding new faculty Act as knowledge keeper of historical USask MedAccess processes and policies Other tasks as required

Education: Successful completion of a recognized post-secondary program diploma relevant to the required duties. An equivalent combination of training and experience may be considered.

Experience: Two or more years of related experience is required; preferably in a large, complex and diverse organization. The ideal candidate has experience across both the University of Saskatchewan and the Saskatchewan Health Authority and is familiar with the clinical, academic and research activities of the Department of Pediatrics. Administrative experience with some exposure to financial activity in a professional office setting is desired. Direct knowledge and experience with University of Saskatchewan systems and functions would be an asset. Experience working and collaborating in diverse and inclusive settings is required. 

Skills: Demonstrated ability to work in high volume setting and manage and prioritize multiple competing deadlines while maintaining a high attention to detail. Ability to recognize and implement changes resulting in improved delivery of processes. Ability to take initiative, be self-directed, exercise diplomacy and creativity in solving issues. Strong interpersonal and communication skills, including the ability to interact effectively with, students, staff, faculty, health care professionals and industry partners. Evidence of relationship building and ability to work collaboratively within a team. Ability to handle interactions with tact, discretion, confidentiality and cultural sensitivity. Strong computer skills including familiarity with Microsoft Office, MedAccess and various SHA systems are essential.
