Job Summary

We are seeking a highly skilled and experienced Administrative Coordinator to provide high-level administrative support to the College of Medicine Advancement Team and Vice Deans. The successful candidate will be responsible for maintaining calendars, preparing reports, documents, and correspondence, as well as coordinating travel arrangements and managing the CRM donor database.

Key Responsibilities
  • Provide administrative support to the Advancement Team and Vice Deans, including calendar management, report preparation, and correspondence.
  • Coordinate travel arrangements and manage the CRM donor database.
  • Provide event planning support, including logistical arrangements, invitation preparation, and RSVP tracking.
  • Ensure high-level administrative support and coordination to various committees, including meeting scheduling, material preparation, and minute-taking.
  • Oversee and manage trust fund processes.
  • Prepare accurate and consistent financial reports, including basic analysis and compilation.
  • Complete transactions in accordance with College and University processes.
  • Maintain confidential donor files and update alumni prospect and donor information on the CRM database.
  • Prepare clerical-level support for financial documentation, including payment processing and financial record reconciliation.
  • Perform research, analysis, and data compilation from existing sources and website management.
  • Provide assistance to other administrative staff to ensure smooth business operations.
Requirements
  • Post-secondary certificate or diploma in business administration or administrative assistant program.
  • Three to five years of related experience providing financial and confidential administrative support in a fast-paced office environment.
  • Strong understanding of basic accounting principles.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Publisher.
  • Knowledge of University processes and procedures, including CRM, UniFi, PAWS, and Concur.
