Make an impact with our Individual Tax team as an Administrative Assistant. This diverse team of professionals directly contributes to the success of the firm by supporting internal and external clients. As a trusted advisor, you’ll ensure the efficient and effective operation of our business.

This opportunity is for a 12-18 month full-time contract.

Responsibilities

Provide comprehensive administrative support to multiple staff members, ensuring adherence to deadlines. Prepare, review, and refine various documents including templates, letters, reports, Word documents, and Excel workbooks. Assist in the creation of regularly scheduled reports. Handle document scanning, photocopying, and faxing as needed. Manage both electronic and paper filing systems efficiently. Coordinate internal and external meetings for Partners. Effectively manage multiple calendars. Collaborate with partner/manager group to compile diverse financial statement packages for clients, ensuring accuracy and compliance: Ensure all correspondence is precise, properly formatted, and grammatically correct.Address all queries and ensure completeness of statements and forms.Coordinate printing of corporate tax returns and electronic filing of applicable tax documents.Notify clients when packages are ready for pickup, obtain required signatures to meet MNP and CRA requirements.Prepare files for archiving and execute the archiving process with a strong emphasis on quality control.

Detailed Responsibilities

New Client (individual and corporate) setup in company’s software systems. Onboard, maintain and update clients (and files) in the on-line MNP Client Portal. Inclusive of answering client inquiries and follow-up. Maintain, delegate, and uphold OneSpan (electronic signatures system) for Partners and Senior Managers. Corporate production of all Year End documentation. Digital and/or Hard Copies. Meeting with clients as needed for year end signing appointments. E-filing of Canadian and US returns and reports.

Skills and Experience

Preferred completion of relevant post-secondary education in administration. 3-5 years of experience in administrative roles. Previous experience working in an accounting office setting is a definite asset. Proficiency in the entire MS Office suite; willingness to adapt to multiple software and systems. Must have advanced skills in working in a digital environment. Keen attention to detail for upholding superior client service, ensuring top-notch deliverables, and maintaining quality control. Strong time management and multitasking abilities, capable of prioritizing tasks effectively. Exceptional verbal and written communication skills at a professional level. Demonstrated capacity to collaborate effectively within a team and autonomously in a deadline-oriented setting.
