Altis Recruitment & Technology is currently hiring for a Proposal Administrator to join our Corporate Proposal Team This role is a hybrid role and can be performed in either Toronto or Ottawa. This role is perfect for a new grad looking to begin their career in proposal or technical writing or those with 1 year of experience in administration or coordination with a keen interest in writing.
The Proposal Administrator is responsible for the administrative operations of our Corporate Proposal team. This includes the coordinating and support of RFP review and dissemination, locating relevant RFP’s on multiple bid portals, scheduling kick-off calls and follow-up meetings with internal business units, checking and downloading amendment documents, tracking bid progress and results, and more.
You will treat each proposal like a separate project, with due dates and a deadline. You need to be able to organize your time efficiently, as you manage the administration on multiple RFP’s, simultaneously.
This position requires strong problem-solving abilities as well as a commitment to Altis’ Standard of Excellence for proposals. Your main responsibilities will include but may not be limited to:
- Monitoring and searching MERX, Buy & Sell, and other tender sites for opportunities
- Reviewing incoming RFP’s, developing “bid summaries” and disseminating all relevant information to leadership to support “go/”no go” decisions
- Completing the bid form summary
- Scheduling and organizing proposal-related meetings, including kick-off sessions, reviews, and debriefs
- Gaining an understanding of each opportunity by thoroughly reading the RFP and flagging any concerns with questions that the team can direct to the client for clarification
- Providing administrative proposal support to the team
- Summarizing and distributing proposal documents for review
- Tracking the progress on all current RFP’s and updating the progress as it moves through the RFP process
- Tracking and documenting all RFP’s that are reviewed and submitted
- Attending meetings, taking notes and document any change to a bid’s status
- Tracking all bid wins and losses and booking debrief sessions

Qualifications:
- Post-secondary degree or diploma; a focus in administration or writing is a plus
- Experience in administrative functions is preferred
- Proficiency with MS Office Suite and document management tools
- Strong organizational and time-management skills
- Excellent attention to detail and ability to manage multiple priorities
- A keen interest in writing (technical, creative, proposal, etc.) is preferred.
