Job Summary

We are seeking a highly organized and detail-oriented Executive Legal Coordinator to join our team. This dynamic role combines the responsibilities of a paralegal and an executive assistant, providing comprehensive support in managing our legal affairs and assisting the board and executives. The Executive Legal Coordinator will coordinate internal communications regarding legal matters, act as a liaison between internal parties and external counsel, keep track of legal document reviews, file legal documents, and ensure timely follow-up on all legal matters. Additionally, this position will provide administrative support to the board as needed, ensuring smooth and efficient operations within our organization.


Duties and Responsibilities:


Legal Support

• Coordinate all internal communication regarding legal matters.

• Act as a liaison between internal parties and external counsel to ensure seamless communication and efficient handling of legal issues.

• Track and manage the review process of all legal documents, ensuring they are processed promptly and accurately.

• File and maintain legal documents in an organized and accessible manner.

• Monitor the progress of ongoing legal matters and follow up promptly to ensure timely resolution.

• Prepare and manage legal correspondence, reports, and documentation as needed.


Executive Assistance:

• Provide high-level administrative support to the board and executives.

• Assist in the preparation and distribution of meeting agendas, minutes, and other related documents.

• Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.

• Handle confidential information with the utmost discretion and maintain confidentiality in all matters.

• Coordinate and organize executive-level meetings and events, ensuring all logistics are handled efficiently.


Coordination and Communication:

• Serve as the primary point of contact for internal and external stakeholders regarding legal and executive matters.

• Facilitate effective communication between the board, executives, and other departments

• Ensure timely and accurate dissemination of information related to legal and executive functions.

• Develop and maintain a comprehensive filing system for legal and executive documents.


Qualifications:

• Bachelor’s degree in Paralegal Studies, Legal Administration, or related field preferred.

• Paralegal certification or equivalent legal training required.

• Minimum of 2-3 years of experience in a paralegal or legal assistant role, with experience in executive support preferred.

• Strong understanding of legal terminology, processes, and documentation.

• Exceptional organizational and multitasking skills with a keen attention to detail.

• Excellent written and verbal communication skills.

• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and legal research tools.

• Ability to work independently and handle multiple tasks simultaneously in a fast-paced environment.

• Strong interpersonal skills and the ability to build effective working relationships.

• Availability to work flexible hours as needed.

• Ability to maintain a high level of professionalism and confidentiality.

• Proficient in Mandarin is strong preferred


Additional Information:


This position is fully in-office Monday to Friday and may require occasional overtime or flexibility in working hours to accommodate executive schedules.
