Job Overview
This position operates in a hybrid model, requiring presence at the office three days a week to facilitate collaboration and support within the legal department.
Key Responsibilities:
- Efficiently manage the electronic filing system and ensure the Team Connect system is updated with relevant matter details and financial plans.
- Assist in the drafting and meticulous proofreading of various legal documents and correspondence.
- Prepare meeting materials, including PowerPoint presentations and other relevant documentation.
- Organize and coordinate meetings, manage calendars, and prepare agendas for senior legal counsel.
- Process and submit expense reports for senior legal counsel.
- Provide comprehensive administrative support, including mail distribution and clerical tasks.
- Aid in the preparation and submission of corporate documentation.
- Oversee the department's quarterly SOX reporting, Information Lifecycle Management, Litigation Hold Process, and Time Keeping.
- Facilitate the department's Business Continuity and Disaster Recovery planning.
- Assist in resolving any administrative challenges that may arise.
Required Skills and Qualifications:
- At least 2 years of relevant administrative experience in a professional office environment.
- Proficient in Microsoft Office Suite.
- Ability to work independently with minimal supervision, as well as collaboratively within a team.
- High degree of confidentiality and discretion in handling sensitive information.
- Strong prioritization and decision-making skills within assigned responsibilities.
- Excellent organizational, problem-solving, and analytical capabilities.
- Strong verbal and written communication skills.
- Proficiency in French is a plus but not mandatory.
