Executive Administrative Assistant – Emburse Join us as an Executive Administrative Assistant at Emburse, a leader in travel and expense solutions, building technology that drives business value and inspires extraordinary results. Hybrid position: minimum 3 days onsite per week in our Toronto office. Essential Functions Provide administrative support to senior or executive leadership, managing schedules, travel, expense reporting, and coordinating meetings and conferences. Use independent judgment to manage the executive’s calendar in Microsoft Outlook, schedule meetings, organize agendas, prepare materials, and take meeting minutes. Maintain meeting equipment (phones, conference lines, WebEx, GoToMeeting, projectors) and coordinate with IT as needed. Type reports, memos, letters, and other documents; develop and maintain confidential files related to meetings, board, committees, and business documents. Collect and maintain receipts, travel records, and corporate credit card statements; interpret and implement company policies in Emburse software to manage the executive’s expense reporting and approve or deny reported expenses. Order office supplies, provisions, and equipment; manage all incoming and outgoing correspondence with independent judgment and discretion. Education and Experience Education: Degree/Diploma in Business Administration or related field. Experience: 5+ years supporting an executive in an administrative capacity. Preferred: Experience in a technology/software industry. Required Skills Direct support experience for a CEO or Company President. Reliability and responsiveness; redirect questions and concerns to appropriate personnel promptly. Excellent organizational skills with flexibility to re-prioritize as business needs demand. Collaboration with multiple departments; proficiency in Microsoft Office Suite. Excellent oral and written communication. Ability to work autonomously and as part of a team. Strong organizational skills and ability to manage multiple high-priority projects simultaneously. Why Emburse?
