Executive Assistant to the CEO

We are looking for an exceptional Executive Assistant to the CEO who thrives in complexity, moves fast, and thinks three steps ahead. This is not a traditional administrative role. It is a high-impact position that sits at the intersection of strategy, operations, execution, and administration in a fast-moving startup environment. You will work directly with the CEO as a trusted partner, protecting focus and priorities, and ensuring that nothing critical slips through the cracks as the company scales.
This role requires someone who is equally comfortable handling sensitive executive matters, driving internal execution, and supporting external stakeholders. CEO & Executive Support (Core Responsibility) Managing priorities, time, and execution across multiple workstreams Own complex calendar management, scheduling across time zones, and preparation for high-stakes meetings Prepare briefs, agendas, follow-ups, and decision summaries; ensuring meetings turn into action Handle sensitive, confidential matters with discretion and judgment Anticipate needs before they arise and proactively remove friction from the CEO’s day 2.
Business Operations & Execution Track strategic initiatives, internal deadlines, and cross-functional deliverables Follow up with team members, partners, and external stakeholders to ensure progress and accountability Help operationalize ideas, turning conversations into structured next steps and timelines Support the preparation of documents, presentations, and internal communications Assist with partnerships, grants, and strategic projects as needed 3. Internal Coordination & Team Enablement Serve as a coordination hub between the CEO, leadership team, and broader organization Help improve internal workflows, documentation, and operational processes Support onboarding, internal communications, and special projects Create clarity in fast-moving situations by organizing information and priorities 4. Office Administration & Operations Own office administration and day-to-day operational needs Manage ordering of office supplies, lab/operational materials Coordinate shipping and receiving (samples, materials, documents, equipment), including tracking and documentation Maintain organized records for purchases, invoices, and subscriptions Support expense tracking, reimbursements, and basic operational bookkeeping coordination This role IS Fast-paced, dynamic, and constantly evolving A blend of strategic thinking and hands-on execution Highly visible and deeply trusted Ideal for someone who wants exposure to leadership, decision-making, and company-building This role is NOT A purely administrative or task-only position A role with rigid routines or fixed daily structures Who You Are Exceptionally organized, detail-oriented, and reliable under pressure A strong communicator — clear, professional, and confident Proactive, resourceful, and comfortable taking ownership Able to switch seamlessly between high-level context and granular execution Discreet and trustworthy with sensitive information Comfortable working in a startup or high-growth environment where priorities shift by responsibility, impact, and learning Experience & Skills 3+ years of experience as an Executive Assistant to CEO or Operations Manager Experience supporting senior leadership (CEO, Founder, or C-suite strongly preferred) Strong proficiency with productivity tools (Google Workspace, Clickup, Slack, calendars, etc.) Ability to manage multiple priorities across business, operations, and administration Experience in a startup or high-growth environment is required for this role. A degree in Business, Administration, or a related field is required.
