What we are looking

for We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to partner closely with our CEO in a fast-paced, entrepreneurial entertainment environment. This is a high-trust role focused on judgment, ownership, and execution, including managing priorities, schedules, communications, and key projects, while anticipating needs and ensuring the CEO operates at peak effectiveness. You will act as a strategic partner and trusted extension of leadership, enabling impact across the company while upholding a collaborative, people-first culture.

Responsibilities

Executive & Administrative Support Manage the CEO’s calendar and time as a strategic resource - exercise independent judgment to accept, decline, or reschedule meetings in alignment with executive priorities Serve as the CEO’s right hand for day-to-day decision flow, context management, and follow-through. Track priorities, decisions, and commitments to ensure nothing falls through the cracks. Realistic and flexible about the nature of executive support, including occasional work outside of standard business hours to ensure things run smoothly. Thrive in a fast-paced environment with multiple priorities and shifting demands, keeping calm, focused, and effective under pressure.

Internal Coordination & Execution Act as connective tissue across the team and all clients by aligning priorities, deadlines, and expectations. Build and maintain systems for tracking communications, projects, goals, and key initiatives. Support hiring, onboarding, and internal process improvements as the company scales. External & Stakeholder Management Interface on behalf of the CEO with clients, agents, production partners, brands, and collaborators.

Draft and refine professional communications, decks, and internal documentation. Design and build visually led, executive-level presentations that clearly tell a story and elevate key messages Handle sensitive information with discretion and strong judgment. Operations & Infrastructure Oversee scheduling, travel, logistics, and expenses with a high level of autonomy. Maintain organized digital systems, files, and reference materials.

Assist with budget tracking, production prep, and special initiatives. Special Projects Support new ventures, productions, and strategic initiatives from concept through execution. Anticipate bottlenecks and proactively propose solutions. Step in wherever leverage is needed to keep momentum moving.

About you

3+ years in an Executive Assistant, Administrative, or Coordinator role (entertainment or production experience preferred). Passion for the entertainment, production, and digital media industries. Strong organizational and time management skills. Great interpersonal skills, including the ability to interact with and liaise with executives and clients.

Excellent written and verbal communication abilities, including rolling calls. Proficient with Google Workspace (Docs, Sheets, Calendar), Zoom, Microsoft Office, Airtable, QuickBooks and basic project tools. Ability to work with discretion and maintain confidentiality.
