Role Overview The HR & Payroll Specialist will play a key role in supporting Qu’s employees across Canada by managing day‑to‑day HR operations, administering payroll and benefits, and assisting with recruitment activities. The role relates to an existing vacancy within the organization. This is a hands‑on role ideal for someone who thrives in a fast‑paced, building environment and enjoys balancing detailed operational work with employee‑facing service. The Specialist will collaborate closely with HR, Finance, and department leaders to ensure HR, payroll, and recruiting processes are seamless, compliant, and employee friendly. Key Responsibilities HR Operations Maintain accurate and confidential employee records across Humi and shared drives. Support onboarding and offboarding, including offer letters, system setup, and checklists. Assist with HR policy updates, process documentation, and HR reporting. Respond to employee inquiries regarding payroll, benefits, and HR policies, escalating complex or sensitive matters as appropriate. Support the delivery of performance management cycles, training coordination, and employee communications. Recruitment Support Partner with hiring managers to post roles, screen applicants, and coordinate interviews. Coordinate candidate communication and ensure a positive recruitment experience. Maintain job postings and candidate tracking within Humi. Assist in preparing offer letters and onboarding materials. Support the ongoing development of Qu’s recruiting processes and employer brand. Payroll & Benefits Administration Administer bi‑weekly payroll for all Canadian employees through Humi, ensuring accuracy, timeliness, and compliance with federal and provincial legislation. Maintain payroll and employee data in Humi and reconcile with accounting records in QuickBooks. Process new hires, terminations, compensation changes, and other payroll adjustments. Administer employee benefits programs (health, dental, RRSP/DPSP, etc.), including enrolments, changes, and employee inquiries. Compliance & Continuous Improvement Support compliance with employment standards and payroll legislation across multiple provinces. Partner with Finance to reconcile payroll accounts and report on benefit and compensation costs. Identify and recommend process improvements across HR, payroll, and recruiting workflows. Qualifications Required Bachelor’s degree in Human Resources, Business Administration or a related field. Payroll Compliance Practitioner (PCP) certification or equivalent, demonstrating familiarity & expertise with Canadian multi‑province payroll and employment standards complexities. Experience in HR operations and recruitment, including offboarding/onboarding, maintaining employee records and coordinating interviews. Strong analytical skills for reconciling payroll accounts and providing relevant reports. Excellent communication and interpersonal skills. Ability to prioritize multiple tasks and work independently in a fast‑moving environment.
