The Opportunity VoPay is looking for an Executive Assistant who will support the Chief Executive Officer. This is a dynamic role that will involve both Executive and Assistant duties. The ideal candidate will be experienced in handling a wide range of administrative and executive support tasks and will be able to work independently with little or no supervision. This person must be very well organized and have the ability to interact with staff (at all levels) in a fast‑paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism. Attention to detail is important. Duties and Responsibilities Act as the primary point of contact for internal and external stakeholders seeking access to the CEO, demonstrating good judgment, commitment to accuracy, attention to detail, and discretion. Manage email and other correspondence, prioritize incoming communications, and respond to inquiries on behalf of the CEO as appropriate. Assist with document requests, review documents for accuracy, and follow up with outside parties as required. Coordinate travel arrangements, accommodations, and itineraries for the CEO. Manage the CEO’s calendar, schedule appointments, and coordinate meetings. Prepare and organize materials for meetings, including agendas, presentations, and supporting documents, as well as prepare meeting minutes. Occasionally coordinate catering or food delivery for meetings. Conduct research, compile data, and prepare reports as needed to support the CEO in decision‑making processes. Collaborate with other members of the executive team and department heads to facilitate communication and streamline processes. Vigorously monitor and coordinate multiple projects, proactively ensuring adherence to timelines and objectives by all stakeholders. Handle sensitive and confidential information with the highest level of discretion and integrity. Occasionally assist the CEO with personal errands, maintaining a high degree of confidentiality. Provide administrative and general business support to the CEO in day‑to‑day matters. Prepare expense reports. Other appropriate administrative tasks as needed. Skills and Qualifications Ability to use common sense and attention to detail are critical for this role. 6+ years of experience as an executive assistant or in a similar role supporting C‑level executives. Cheerful demeanour and ability to maintain composure and perform well under pressure. Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels and from diverse backgrounds. Proficiency in utilizing a variety of technologies, including Google Suite, Microsoft Office, and Adobe. Ability to independently prioritize tasks and structure your workday in accordance with the CEO's schedule. Demonstrated commitment to completion of projects on a timely basis.
