The Law Society is seeking a permanent, Executive Assistant to the Chief Operating Officer in our Office of the CEO department. The Executive Assistant (EA) provides effective and efficient administrative support to the Chief Operating Officer ("COO"). The person exercises superior interpersonal, organizational, and time management skills in carrying out the position's functions, and is expected to exercise initiative, finesse, discretion, and judgment. The EA needs to be a resourceful and an accomplished problem-solver who can handle confidential and time sensitive material while juggling multiple and changing priorities and remaining professional at all times.

The duties of this position include:

  • Managing office processes and information flow on behalf of the COO by screening and prioritizing incoming requests, email, mail and telephone calls, flagging priority and urgent matters and directing routine matters to other staff.
  • Managing and tracking a system of action items and bring forwards on behalf of the COO, including ensuring deadlines are met/altered and following up regularly regarding status and updates.
  • Managing the COO's calendar and commitments through careful planning, communication and coordination to maximize time management and ensure all deadlines are met.
  • Coordinate meetings by preparing agendas, taking minutes, tracking action items, and following up on outstanding tasks to ensure timely progress as required.
  • Anticipating information needs and compiling information packages for meetings, conferences, appointments, etc.
  • Conducting research, both general and legal, utilizing internal and external databases.
  • Administering and reconciling external invoicing, and administering expense claims. Drafting correspondence for the COO based on a careful review of documents, information and notes provided.
  • Proofreading, editing and formatting draft correspondence prepared by other staff for the COO's signature.
  • Coordinating travel arrangements and ensuring they comply with Law Society policy and the COO's preferences.
  • Take on project management responsibilities for specific initiatives, as directed by the COO.
  • Maintain the highest level of professionalism and absolute discretion with confidential business, financial, and personnel information.
  • Such other duties as assigned or required by the COO.

Qualifications

  • A post-secondary diploma in a relevant discipline and five years of administrative experience in a complex office environment supporting top-level executives, or an undergraduate degree in combination with three years of experience in a complex office environment supporting top-level executives, is required.
  • The exercise of good judgement, professionalism and discretion, and the ability to anticipate needs and take initiative are essential.
  • Strong word processing, communication, scheduling and executive level office management skills are required.
  • The position requires proficiency in the use and support of information technology and systems (particularly Word, Adobe Acrobat, and Excel), confidence and familiarity with the use of virtual meeting technology (e.g., Zoom), excellent oral and written communication skills, and strong attention to detail and multi-tasking ability.
  • Alternative expertise or a combination of education and experience may be considered.

The salary range for this position is $81,420 to $88,500.
