The Legal Services Department plays a critical role in our organization by providing comprehensive legal support across various domains. Comprising Corporate Legal, Transaction Legal, and Real Estate Legal divisions, this department ensures legal compliance, safeguards the organization’s interests, and facilitates smooth project delivery. Position Purpose The Board and Committee Specialist ensures effective governance practices by coordinating, administering all Board and Committee meetings, and supporting the Corporate Secretary in maintaining governance documentation, managing meeting processes, and facilitating communication between senior leadership and Board members to promote transparency and accountability. What You Will Do Coordinate and administer Board and Committee meetings, including preparing agendas, collecting and posting materials to the board portal, and ensuring compliance with timelines. Review and apply Conflict of Interest screens, including redacting materials as required. Provide administrative support for Board and Committee meetings, including maintaining accurate corporate records such as agendas, minutes, and attendance logs as well as tracking items requiring follow-up from the Executive Management Team (EMT) or Board. Liaise with internal teams to ensure deliverables for Board and Committees are on track and support review processes. Provide mentorship and guidance to the Board Coordinator to ensure tasks are completed accurately and efficiently. What We Are Looking For A few years’ experience in governance administration or a similar role requiring coordination of complex meeting processes and documentation. Strong organizational skills with the ability to manage multiple priorities and maintain accuracy under tight timelines. Excellent communication skills for working with senior executives and Board members, including the ability to convey information clearly and confidentially. Experience in using board portal technology and maintaining detailed records. Ability to exercise sound judgment when managing sensitive matters. Professional learning in governance, law clerk practices, or secretarial certification, with knowledge of parliamentary procedures and governance concepts is an asset.
