**Working Arrangement**
Hybrid
Working closely with the Assistant Corporate Secretary and the VP and Chief Counsel, Public Company, provides diverse and vital board operations support as part of the Corporate Secretary’s Office, ensuring the efficient and effective operations of the Manulife Board of Directors.
**Responsibilities**
- Support the day-to-day operations and activities of the Corporate Secretary’s Office.
- Conduct research, compile data and prepare reports, presentations and other written documentation in support of the Board and committees’ needs.
- Handle regulatory filings as required.
- Oversee and maintain process and procedure documentation for the Corporate Secretary’s Office. Design and/or implement process improvements where relevant.
- Support the Assistant Corporate Secretary with preparing accurate drafts of minutes of Board and committee meetings.
- Support the planning and execution of governance-related projects and events such as the annual meeting of shareholders and other Board events.
- Coordinate Board and committee meeting logistics and act as liaison between management and information technology support specialists to ensure effective meetings in both the physical (in person) and virtual (Microsoft Teams) environment.
**What we are looking for**
- University or College diploma in Administration or Business or extensive related business experience
- A minimum of 3- 5-years’ experience working in a sophisticated, matrixed organization, preferably in a role involving significant planning, logistics and execution responsibilities.
- Sophisticated technological proficiency, including sophisticated capabilities in Microsoft Office suite of products (Word/Excel/Powerpoint/Teams/Sharepoint/Outlook).
- Very comfortable organizing and compiling data in excel spreadsheets and creating reports.
- Ability to handle confidential information, exercise discretion and tact in sensitive situations.
- Ability to work independently and use judgment but also know when to seek advice when encountering novel situations.
- Ability to multitask, be flexible and move from one priority to another, while maintaining a high level of accuracy and attention to detail
- Strong technical, organizational and prioritizing skills, using time optimally to meet deadlines.
- Ability to stay calm under uncertainty and thrive in a fast-paced environment.
- Excellent verbal communication, writing and editing skills.
