Responsibilities Provide administrative support such as arrange travel, schedule conference calls, meetings and maintain notes, as needed Manage travel vendor relationship and serve as the principal point of contact for all administrative team support needs Coordinate agenda and priorities for the weekly Finance/Operations team meeting; follow up on assigned tasks Assist in preparing and submitting expense reports for the CFO and Finance Operations team Provide ad hoc support to the team such as editing, proof reading, data entry/retrieval, etc. Assist the A/P process with vendor/wire verification and occasionally provide backup coverage Leverage technical capabilities to provide comprehensive support for ad hoc projects such as research, benchmarking and automation initiatives Assist in the preparation and assembly of presentations Coordinate and facilitate workshops and team-building events Assist with finance training workshops and other admin onboarding CRM database entry and maintenance, general filing, mail sorting, photocopying Provide general office support and coverage duties as required Occasional overtime may be required to support and ensure timely completion of priorities Qualifications Minimum of 2-3 years of related administrative support experience; financial services or accounting knowledge considered an asset Post-secondary education in Office Administration or Business Administration considered an asset Ability to be involved in sensitive and confidential matters related to daily operations High degree of proficiency with computer software tools including Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio) Familiarity with ERP systems and AI is considered beneficial and a willingness to quickly adapt to new applications and processes Ability to work under tight deadlines, well-organized with attention to detail and an ability to deal with multiple priorities Strong self-starter with good organizational and time-management skills Demonstrates outstanding teamwork and possesses exceptional communication skills, consistently fostering a collaborative and positive workplace atmosphere
