Job Summary:

Paddington Properties is seeking a detail-oriented Office Administrator to keep our real estate development office running smoothly. This full-time, on-site role (Mon–Fri, 8:30–5:00) manages front-desk communications, calendars, document control, and basic AP/AR while supporting permit/draw workflows and vendor coordination. A reliable car and willingness to commute across Metro Vancouver for office errands and occasional site visits are required. Starting at $19/hour + 4% vacation pay, the role includes training and a clear growth path to Project Coordinator for strong performers.

What You'll Do

  • Be the first point of contact: greet visitors, answer phones, and manage the general inbox.
  • Calendar & meeting support: schedule meetings, book rooms, prepare agendas, take minutes, and follow up on action items.
  • Document control: organize digital and paper files; scan, name, and archive contracts, permits, COIs, LCs, and progress-claim packages.
  • AP/AR support: vendor onboarding, route invoices for approval, basic data entry (QuickBooks Desktop/Excel), and maintain trackers.
  • Project admin support: update logs for permits, inspections, warranties, and draws; liaise with consultants and trades for required documents.
  • Office operations: order supplies, handle courier/mail, maintain tidy shared spaces, and support HR onboarding checklists.
  • Light reporting: update spreadsheets (budgets, cost-to-complete trackers), prepare PDFs, and compile weekly status summaries.

What You Bring

  • 1–3 years of administrative experience (construction/real estate office preferred).
  • Solid Microsoft 365/Google Workspace skills; strong with Excel (filters, SUMIFS, basic pivots).
  • Excellent organization, attention to detail, and follow-through; able to manage competing priorities.
  • Clear, professional communication — written and verbal.
  • Reliable car required and valid BC driver's licence.

· Commute between Surrey/Langley/Maple Ridge/ Coquitlam for office errands and administrative work, and occasionally working out of project site offices.

  • Eligible to work in Canada and available on-site full-time.

Growth Opportunity

This role is designed with a clear path to Project Coordinator as you master our document control, permit/draw workflows, and vendor/trade coordination. Training and mentorship provided; progression based on performance and business needs.

Compensation & Perks

  • $19.00/hour starting wage.
