We are a family owned and operated business that has been building luxury homes and condominiums in the Greater Toronto Area for over 50 years. We also manage a large portfolio of residential and commercial properties.

We are looking to hire a Receptionist. The ideal candidate possesses strong time management and organizational skills. This is a full time, in-office position. Hours are Monday to Friday 8:45am-5:15pm.

Job Duties

Not Limited to:

  • Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.
  • Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
  • Take and record telephone, e-mail, or written messages for staff members.
  • Type forms, letters, reports, and memos, as necessary.
  • Receive and distribute all forms of paper correspondence.
  • Organize, maintain, and coordinate office records and files in their proper locations.
  • Where necessary, assist in the compilation of data for various reports.
  • As the first contact, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
  • Provide information to staff and/or clients about special activities.
  • Observe and report any security issues to HR.
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Maintain the reception in a tidy and presentable manner.
  • Accept and monitor inbound shipments, as necessary.
  • In charge of preparing meetings and maintaining the boardrooms.
  • In charge of the photocopier's maintenance and supplies.
  • Order supplies and maintain the postage meter.
  • Assist other departments as needed.
  • In charge of the cleanliness of the kitchen and boardrooms and common areas.
  • Accounting administration as required.
  • Responsible for preparing and submitting reports for credit card reimbursements.
  • Other duties as required.

Requirements

  • High school diploma, or an acceptable combination of education and experience.
  • Strong knowledge of Microsoft Office products, including Excel, Word, and Outlook.
  • Excellent analytical and problem-solving skills, and general mathematical skills.
  • Superior telephone manners and strong interpersonal skills.
  • Strong written and verbal skills to communicate with all levels of the organization and its executive team.
  • Strong customer service orientation.
  • Must maintain the confidentiality of all company and customer information and must not discuss such matters outside of State Building Group.
  • Tact and discretion must be used in all dealings with all customers and potential customers to maintain a positive image.
  • Strong time management and organizational skills required.
  • Must be punctual and reliable.
