Job Overview

We are a fast-paced real estate brokerage dedicated to delivering exceptional service to our agents and clients. We are looking for a professional, organized, and welcoming Receptionist to be the first point of contact in our office and provide strong administrative support to our team.

Responsibilities

  • Greet and assist clients, visitors, and agents in a warm and professional manner
  • Answer and direct incoming phone calls; provide general information as needed
  • Monitor and manage the office email inbox, forwarding inquiries to the appropriate team members
  • Schedule showings, meetings, and appointments for agents and management
  • Prepare and organize listing documentation, forms, feature sheets, and compliance paperwork
  • Maintain and update listing files to ensure accuracy and completeness
  • Collect, sort, and distribute mail, packages, and internal documents
  • Keep the front desk area and office common areas clean, organized, and client-ready
  • Track office supplies, restock inventory, and place orders when necessary
  • Provide general administrative support including scanning, photocopying, filing, and data entry
  • Assist with office events, training sessions, and team meetings
  • Uphold confidentiality of client and agent information and follow all brokerage policies

Skills

  • Professional and friendly demeanor with the ability to handle a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer skills with the ability to learn new software quickly
  • Experience with data entry, filing, and clerical duties in an office setting
  • Excellent customer service skills with professional phone etiquette
  • Ability to handle multi-line phone systems efficiently
  • Organizational skills with attention to detail for proofreading and document management
  • Previous administrative or receptionist experience preferred (real estate experience is an asset)
  • Knowledge of real estate procedures, MLS listings, or TREB forms is an asset (training provided)
  • Strong typing skills with high accuracy and speed
  • Ability to work independently during weekend hours while managing multiple tasks effectively
