Hours: Monday–Friday, occasional evenings/weekends, ~1 Saturday/month

Role Overview:

The Executive Assistant supports the CMO/CEO with scheduling, communications, meeting prep, travel coordination, and administrative tasks. This role requires strong organization, discretion, and the ability to work independently in a fast-paced environment requiring autonomy and collaboration.

Based in Hamilton, this position requires in-office attendance. Shift can be flexible between 9:00-5:30 or 10:00-6:30.

Key Responsibilities:

  • Manage complex calendars and coordinate meetings across multiple time zones.
  • Monitor and draft professional communications; follow up on outstanding items.
  • Prepare agendas, briefing materials, and track action items.
  • Coordinate travel and event logistics.
  • Maintain organized documents and liaise with internal teams.
  • Handle confidential information with professionalism.

Qualifications:

  • 3–5 years as an Executive Assistant (healthcare experience preferred).
  • Strong organizational, time-management, and communication skills.
  • Proficiency in Microsoft Office; EMR knowledge is a plus.
  • Detail-oriented, proactive, and able to manage sensitive information.
