The Role
We are looking for a highly organized, proactive, and detail-oriented Office Administrator to support our operations. This role is ideal for someone who enjoys variety, takes initiative, and keeps a busy environment running efficiently.
You will manage administrative processes, documentation, communication workflows, supplies, scheduling coordination, and provide day-to-day support to the operations, field services, and projects teams.

What You'll Do:
- Act as a point of contact for vendors, clients, and internal teams.
- Flag process issues early and escalate when errors from others impact your workflow.
- Maintain accurate filing, document control, and quality checks on incoming field reports.
- Handle incoming/outgoing emails, calls, mail, and ensure timely follow-ups.
- Support scheduling and coordinate meetings; prepare agendas, minutes, and track action items.
- Assist with travel arrangements and trip coordination when needed.
- Keep the office organized, clean, and running smoothly day-to-day.
- Manage office supplies, food supplies, equipment, and inventory with regular audits.
- Complete data entry, asset updates, and system updates with accuracy.
- Support operations, field services, and other departments with administrative tasks as required.
What We're Looking For:
- Minimum 3 years of experience in a similar office administrator or administrative support role.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- High attention to detail with strong document accuracy and quality-checking habits.
- Ability to work independently with good judgment and prioritization skills.
- Team-oriented, flexible, and comfortable working in a fast-paced environment.
Nice to Have:
- Previous invoicing experience (Harvest or similar systems).
- Familiarity with , inventory systems or asset-tracking tools.
- Experience supporting field service, technical teams, or operations environments.
