Position overview:

A front desk agent's primary duty is to provide guests and visitors a warm and professional welcome. They provide check-in and check-out, and handle guest requests and complaints. They are responsible for processing payments, managing reservations, answering phones, and providing information about Narmtara Centre's services and local attractions. The role also requires maintaining a clean and organized reception area and coordinating with other departments, such as housekeeping and maintenance to ensure a smooth guest experience.

Key responsibilities:

Guest Services:

  • Greeting and check-in/check-out: welcome guests, handle registration, assign rooms, and process check-out procedures efficiently.
  • Answering inquiries: Serve as an information hub, answering questions about Naramata Centre's amenities, services, and local attractions.
  • Handling requests: Address and fulfill guest requests in a timely and professional manner.
  • Resolving issues: Listen to and resolve guest complaints and concerns to ensure satisfaction.
  • Lost and found: in collaboration with housekeeping, lost items are logged.

Administrative and financial tasks:

  • Reservations: Manage room bookings, including making, changing, and canceling reservations.
  • Payments: Process payments, handle cash, post charges to guest accounts, and daily reconciliations.
  • Record keeping: Maintain accurate records of guest information and daily transactions using the hotel's management software.
  • Printing daily reports: these are used by GM
  • Communication: Answer and forward phone calls and manage messages for guests.
  • Collections: collaborate with the Director of Finance to ensure all payments have been received.

Operations and coordination:

  • Front desk maintenance: Keep the front desk and surrounding areas clean, tidy, and well-stocked with necessary materials like brochures and maps.
  • Inter-departmental coordination: Liaise with other departments, such as housekeeping and maintenance, to communicate guest needs and ensure smooth operations.
  • Security: Comply with company security and safety policies and manage key cards.

  • Effective verbal and written communication skills including the ability to clearly communicate with team members and the operations team

Full time hours/week) seasonal (Apr-Sep or May-Sep); ability to work a flexible schedule including evening, weekends and statutory holidays

Compensation:

$23-25/hour
