Job Overview

We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth daily operations, providing excellent customer service, and supporting administrative functions across the office. The ideal candidate will possess strong clerical skills, be proficient in office software, and demonstrate exceptional communication abilities. Experience in a professional office setting is a plus, but not required. This position offers an opportunity to work in a dynamic environment where organizational skills and attention to detail are highly valued.

Duties

  • Greet visitors and clients at the front desk with professionalism and courtesy
  • Compile client document packages and deliverables for distribution
  • Actively manage the status of client deliverables from client authorization to electronic submissions.
  • Perform data entry tasks with accuracy using Microsoft Office
  • Maintain organized filing systems both electronically and physically
  • Schedule appointments and coordinate meetings efficiently
  • Handle administrative tasks such as proofreading documents, managing calendars, and preparing correspondence
  • Support customer service efforts by addressing inquiries promptly and professionally
  • Ensure the reception area and meeting rooms remains tidy and welcoming at all times

Experience

  • Prior office experience is preferred, especially in clerical or administrative roles
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with QuickBooks or other bookkeeping software is a plus
  • Strong computer skills including data entry, file management, and internet research
  • Previous experience working at a front desk or multi-line phone system is desirable
  • Excellent phone etiquette and customer service skills are essential
  • Organizational skills with the ability to multitask efficiently in a fast-paced environment

Job Types: Full-time, Permanent

Pay: $45,000.00-$55,000.00 per year
