Executive Assistant to the CEO & Registrar
At the CRNA, we are committed to regulatory excellence and safeguarding the public interest. As part of this commitment, and with our current incumbent relocating internationally, we are seeking an Executive Assistant to the CEO & Registrar to provide high-level administrative and coordination support to the Executive Office.
This position plays a vital role in managing executive correspondence, calendar, and priorities while coordinating with health system partners across the province and nationally. Reporting to the CEO & Registrar, the Executive Assistant will orchestrate complex schedules, maintain governance-ready documentation, and ensure timely, professional interactions with internal teams and external partners.
What You Will Do
Management of Executive Inbox, Actions & Calendar
- Analyze, prioritize and triage all incoming correspondence to the CEO and Executive Office, ensuring timely, professional handling.
- Manage the CEO's calendar and action list, proactively resolving conflicts, balancing commitments and surfacing risks early.
- Anticipate needs and adjust meetings, timelines and priorities in response to changing conditions.
Coordination and Documentation of Executive Projects and Meetings
- Support the CEO on projects and partner communication, drafting reports and presentations as needed.
- Provide full cycle support for senior leadership team meetings including the preparation of agendas, meeting notes, documentation of action items and tracking as well as coordinating guest invitations and other meeting logistics
- Facilitate additional full-cycle meeting coordination for organizational and partner gatherings, including agendas, materials, minutes and action tracking.
- Prepare administrative documents including correspondence on behalf of the CEO, expense claims, quarterly expense reporting, oversight of the monitoring of executive office contracts and maintain department records to audit standards.
Administration of Executive Expenses and Records Stewardship
- Maintain executive records with version control and retention schedules to support governance and regulatory requirements.
- Draft and monitor the Executive Office budget; prepare expense reporting for the CEO and Council Chair.
- Support internal controls and audit readiness for the Executive Office.
Liaison for Travel, Governance Support & External Partnerships
- Coordinate domestic and international travel for the CEO, executive team and Council members.
- Collaborate with the Governance Team for Council and committee meeting preparation and provide backup governance support.
- Engage external health-system partners including Ministry of Health Alberta, AHS, Covenant Health, post-secondary institutions and regulatory counterparts to coordinate information flow and respond to time-sensitive requests.
What You Possess
Education:
Two-year post-secondary diploma or certificate in administration, business or a related field.
Experience:
Minimum 7 years of experience in executive support or senior administrative roles, with at least 3 years of recent experience supporting C-suite executives or senior leadership.
Skills & Competencies:
- Executive Coordination: Strong calendar management, inbox triage, action tracking and priority setting with the ability to anticipate needs and resolve conflicts.
- ·Communication and Collaboration: Excellent written and verbal communication skills with tact, diplomacy and relationship-building ability across internal teams and external partners.
- Confidentiality: Handles sensitive information with discretion and sound judgment, maintaining appropriate access and secure protocols.
- Records and Budget Administration: Experience with document and records management, expense tracking and budget monitoring to audit standards.
- Meeting and Governance Support: Skilled in full-cycle meeting coordination including agendas, materials, minutes and action follow-up. Experience supporting governance processes is an asset.
- Technical Proficiency: Proficient with MS 365 (Teams, SharePoint, Outlook, Word, Excel, PowerPoint), Adobe Acrobat and accounting software (SAGE or similar).
- Adaptability and Judgment: Navigates shifting priorities, exercises sound judgment and maintains composure under time pressure.
- Self-Starter and Initiative: Independent thinker who resolves issues proactively, prevents duplication of work and seeks solutions on behalf of the CEO.
