Gateway Tutoring helps elementary and secondary students become fluent in French without repetitive exercises or changing schools. Job Summary:

We are looking for an Appointment Setter to join our team. This person will be the first point of contact for prospective families, helping them understand our programs, answer questions, and schedule consultation calls. Strong oral communication skills are essential, as most interactions will be verbal.

  1. Purpose

To ensure all leads are contacted promptly and professionally, and that qualified prospects are booked into consultations, assessments, or discovery calls. This SOP ensures consistency, high conversion rates, and a positive client experience.

  1. Role Overview

The Appointment Setter is responsible for:

  • Contacting new leads within defined timeframes
  • Qualifying prospects using a standard framework
  • Booking appointments for the sales team or intake coordinator
  • Maintaining accurate CRM records
  • Following scripts, communication standards, and follow-up procedures

  • Responsibilities

The setter must:

a) Review incoming leads daily.

b) Reach out via phone, SMS, and email.

c) Follow approved call and text scripts.

d) Ask qualifying questions and document answers.

e) Overcome basic objections.

f) Schedule appointments into the shared calendar.

g) Send appointment confirmations and reminders.

h) Update lead status in the CRM.

i) Report daily KPIs.

  3. Use polite, clear, parent-friendly language.
  4. Never promise discounts, schedules, or guarantees without authorization.
  5. Maintain warm, helpful, confident tone.

Required Qualifications:

  • Excellent spoken English; clear, professional phone presence.
  • Strong interpersonal and active listening skills.
  • Organized and detail-oriented, able to track appointments accurately.
  • Comfortable using basic online tools (calendar, CRM, Google Workspace).

Preferred Qualifications:

  • Previous experience in customer service, sales support, or tutoring administration.
  • Experience working in a remote environment.
  • Basic French language skills (not required but a plus).

  • Base pay: CAD $20–$24/hour, depending on experience.
