Job description

This position provides administrative, organizational, and marketing support to three real estate agents in a fast-paced environment. The successful candidate will be detail-oriented, proactive, and comfortable managing shifting priorities throughout the day.

Key Responsibilities include:

  • 8 hours of Independent contract work per week
  • 32 hours of work as an Employee per week
  • Managing incoming phone calls, emails, and messages
  • Preparing formal documents
  • Overseeing and coordinating three realtors' schedules and transaction timelines
  • Maintaining and updating client databases, listings, and CRM systems daily
  • Managing a bring-forward system and prioritizing competing deadlines
  • Scheduling and coordinating home showings, property tours, photographers, and sign installation/removal
  • Communicating clearly and professionally with clients, colleagues, and industry professionals
  • Designing and implementing social media strategies aligned with business goals
  • Creating, editing, publishing, and sharing engaging content across multiple platforms
  • Creating high quality marketing materials for agents
  • Perform duties that require off-site travel and the purchase of supplies
  • Plan and organize client events
  • Research, write, and produce original monthly newsletters with a high standard of accuracy
  • Supporting additional administrative and project-based tasks as needed

Preferred qualifications:

  • Holds a valid British Columbia driver's licence and maintains access to a vehicle
  • Skilled with technology, including Google Workspace (G Suite), Microsoft Office, social media platforms, basic ad campaigns, and design tools such as Photoshop
  • Strong customer service and interpersonal/communication skills
  • Strong organizational skills
  • Self-starter; be able to see an area of need and proactively meet that need
  • Ability to work in a fast-paced ever changing environment
  • Fluent in English with exceptional grammar and writing skills
  • Previous administrative or clerical experience is an asset but not required
  • Have excellent attention to detail
  • Able to prioritize and manage shifting daily responsibilities
  • Open to new ideas, systems, and continuous improvement
  • Able to make quick and effective decisions, solve problems, as well as maintain confidentiality
  • Outgoing personality
  • A true professional, who supports the entire team in achieving their goals

Job Type: full-time 40 hours a week

Salary is dependent on skills and experience with ongoing opportunities to grow over time.
