THE REGISTRAR'S OFFICE AT ST. MICHAEL'S COLLEGE
The Registrar's Office is the essential centre of 1-1 personalized advising and referral for SMC students on a variety of complex, ever-evolving, and often individual matters related to their academic experience. The Registrar and Director of Student Advising is a prominent senior leader and representative of the undergraduate College experience within the College and within the Faculty of Arts & Science and the University of Toronto.
The expertise and critical engagement of the Registrar's Office with the intersection between individual student experience, University policy and supports, and College community are essential to the support of the larger strategic direction and leadership of St. Michael's as a whole.
The Registrar's Office is proactively invested in areas of student advising and support that prioritize academic advising; first-year transition; upper-year transition and career/grad school planning; holistic support and referral; co-curricular academic and experiential learning; the international student experience; strategic awards planning; and the critical analysis of data, trends, and policy in order to inform ongoing strategic directions.
POSITION SUMMARY
The Academic Advisor, Financial Aid and Fees provides academic advising services to all St. Michael's College students, from admission to graduation. They act as a collaborative member of a team of academic advisors to support all services within the Registrar's Office, from front-line enquiries to more portfolio-based advising and occasional collaboration on specialized student-facing events. They advise and assist students in making decisions affecting their academic progress on subjects that include financial aid, program and course enrolment/choice, admissions, fees and finance, degree completion, petitions and requests for special consideration, and other general Faculty of Arts & Science policies and procedures. They will often act as a central touchpoint for referrals to other supports on campus, including the resources within the SMC Academic Success Centre, Accessibility Services, the Career Exploration & Education Centre, the Centre for International Experience, and Student Crisis Response/Academic Progress.
The portfolio of the Academic Advisor, Financial Aid and Fees involves advising students on accessing various sources of financial assistance and advising students on all financial matters including funding opportunities, scholarships, bursaries, OSAP, and UTAPs. The role-holder reviews grant applications to ensure completeness and accuracy of information on the application. They work proactively to ensure appropriate and accurate promotion of financial aid opportunities to students. They advise students who may have complex, difficult, or serious financial and academic problems, and who are referred to them by staff within the Registrar's office or other offices of the College or University. The role-holder will be expected to make referrals to other specialized services and resources where appropriate. They may be asked to offer informational workshops or presentations to students in areas relevant to their role and specific portfolio. They may also be asked to assist in the coordination of undergraduate student awards events at the College.
Some core responsibilities will include:
- Advising students on financial aid/grant opportunities.
- Advising students on the development of their educational plans.
- Advising students on program and/or course requirements by probing and providing a range of options and possible consequences.
- Keeping well-informed about University programs, policies and procedures.
- Keeping well-informed about and advising students about University and College supports, resources, and initiatives.
- Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting an alternative course of action as necessary and appropriate.
- Probing for information from students to develop educational outlines in keeping with their career and life goals.
QUALIFICATIONS & SKILLS
Education:
- Bachelor's degree minimum.
Experience:
- Minimum 4 years of experience in supporting and advising students on complex financial and academic issues.
- Experience in specifically advising on financial aid eligibility.
- Experience in assessing financial aid and awards/scholarships eligibility an asset.
- Experience in efficient collection of information across different IT applications, services and tools for the purpose of advising and reporting.
- Experience working in a cross-cultural environment and with students from a diversity of cultural and socio-economic backgrounds.
- Experience in devising, promoting, and facilitating student programming.
- Experience in analysing data from a variety of sources for the purposes of student support.
- Demonstrated strategic initiative.
- Experience working within a College Registrar's Office in the Faculty of Arts & Science a strong asset.
- Experience in management of confidential information and thorough familiarity with data retention and management policies and procedures.
Skills:
- Excellent written and oral communication skills in English.
- Excellent research, analytical, and reporting skills.
- Demonstrated skills and ability to provide effective guidance and advice to students and staff in a responsive, empathetic, and thoughtful manner.

- Advanced skills with ROSI/ACORN, Degree Explorer, or other similar enterprise database solutions/CRM systems.
- Experience working in WordPress desirable.
- A high level of muscular coordination and/or manual dexterity for precise processing of a variety of documents or inputting data where corrections are permitted after the fact.
