 A job description is available upon request Date Posted: 01/27/2026Req ID: 46743Faculty/Division: Vice Provost Strategic Enrolment MngmtDepartment: University Registrar's OfficeCampus: St. George (Downtown Toronto)Position Number: 00046748 Description: About us:As a member of the Financial Aid work group, the Financial Aid Coordinator assists in the administrative processes and procedures for Government funded financial aid programs, need based financial aid programsand the University of Toronto Assistance Plan (UTAPS).Your opportunity:The incumbent will work closely with the Associate Director of Financial Aid Services, Senior Financial Aid Specialists, Financial Services Student Accounts Supervisor, to clarify OSAP tuition refund and UTAPS payments, record tuition refunds to OSAP, administer OSAP withdrawal and Academic Progress reports, administer UTAPS error and pending reports, review tuition refund requests forOSAP students, and assists with the processing of OSAP and UTAPS applications by identifying and obtaining the necessary documents from applicants, communicating with applicants and the public, and maintaining reports on financial aid and UTAPS program recipients.The incumbent will also be responsible for documenting and keeping current all administrative processes and procedures relating to the coordination and maintenance of OSAP reports such as tuition refunds, OSAP withdrawals, academic progress and UTAPS program records. Under general supervision of the Associate Director of Financial Aid Services, the incumbent will be responsible for coordinating and updating of financial aid and UTAPS reassessment/refunds processing information, working with divisional representatives. Acts as a point of contact for general enquiries regarding UTAPS programs, clarification of OSAP payments, tuition refunds, withdrawals and academic progress in-person, or by email by generating routine email correspondence.Your responsibilities will include: Providing detailed information regarding financial aid issuesInforming applicants and current students of available financial aid workshopsProvidingdetailed information on fee deferral procedures and deadlinesMaintaining a cache of financial aid informationProviding detailed information regarding financial awardsInforming applicants and current students of available financial awards workshopsMaintaining a cache of financial awards informationKeeping well-informed on University programs, policies and procedures Essential Qualifications: Bachelor's Degree or acceptable combination of equivalent experience.Minimum two years related experience providing detailed explanation of policies and procedures, related to government financial aid programsData entry and front line customer serviceExperience with a computerized records management system to identify, categorize, store, retrieve, and dispose of recordsFamiliarity with the university’s student information systems or with a comparable systemAdvanced skills in Microsoft office including Word and ExcelDemonstrated skills and experience using data management systems, creating and manipulating spreadsheets, posting to and navigating websites or SharePoint On-lineExperience in electronic imaging and storage processesExcellent interpersonal, cross-cultural, organizational, customer service and problem solving skillsExtremely good organizational ability and ability to prioritize a diverse workload requiredInitiative; ability to handle large quantity of work under pressure and to meet deadlinesDemonstrated ability with fast and accurate data entry; ability to exercise judgement, accuracy and attention to detailDemonstrated ability to adapt to new practices and procedures quickly and accuratelyDemonstrated ability to work with confidential information and to ensure privacy of student information is maintained at all timesAssets (Nonessential): Knowledge of institutional aid and UTAPS an assetTo be successful in this role you will be: AdaptableCommunicatorEfficientMulti-taskerOrganized Note: This is an approximately 1-year term position.  Closing Date: 02/05/2026, 11:59PM ETEmployee Group: USW Appointment Type: Budget - Term; This is an approximately 1-year term position. Schedule: Full-TimePay Scale Group & Hiring Zone:USW Pay Band 09 -- $67,916. with an annual step progression to a maximum of $86,855.
