Commercial Proposal Coordinator

As a Commercial Proposal Coordinator, you will play a key role in preparing, coordinating, and delivering compelling and compliant commercial proposals. Your goal is to ensure the quality, consistency, and competitiveness of each submission while meeting deadlines and fostering effective collaboration across internal teams.
KEY RESPONSIBILITIES AND DUTIES
1. RFP Management & Coordination
- Review and analyze RFP/RFI documents to identify submission requirements, deadlines, and evaluation criteria.
- Develop and maintain a clear project timeline, ensuring all deliverables are completed on schedule.
- Coordinate internal review meetings, clarification requests, and approval processes.
- Act as the main point of contact for all proposal-related communications, both internally and externally.
2. Proposal Development & Writing
- Prepare, draft, and format proposal content, ensuring clarity, accuracy, and compliance with client requirements.
- Collaborate with subject matter experts (operations, finance, IT, marketing, and legal teams) to gather and synthesize information.
- Tailor standard corporate materials to meet the specific needs and objectives of each opportunity.
- Edit and proofread proposal documents for grammar, consistency, and professional presentation.
3. Documentation & Compliance
- Ensure all proposals meet mandatory requirements and are compliant with client specifications.
- Maintain up-to-date records of corporate documents, standard responses, and proposal templates.
- Manage version control and proper documentation of all submitted RFPs.
- Support the collection of certificates, insurance documents, references, and other compliance materials required for submissions.
4. Collaboration & Communication
- Liaise with multiple internal departments to coordinate inputs and obtain management approvals.
- Work closely with the design/marketing team to produce visually appealing and brand-consistent proposal documents.
- Communicate regularly with business development leads to align proposal strategies with corporate objectives.
- Maintain a database of RFP opportunities and submission results, tracking success rates and lessons learned.
- Identify potential new business opportunities through bid portals and procurement networks.
6. Administrative & Reporting Tasks
- Manage proposal calendars, submission trackers, and performance metrics.
- Prepare internal reports summarizing RFP activities, win/loss analyses, and improvement recommendations.
- Support post-submission follow-ups, including requests for clarifications or presentations.
- Contribute to the enhancement of RFP tools, templates, and processes for greater efficiency and consistency.
QUALIFICATIONS
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
- Proficiency in document management on Microsoft Teams
- Experience with design tools (Canva) preferred
- Bilingual (English/French) is an asset.

RESPONSABILITÉS CLÉS ET DEVOIRS
1.Gestion et Coordination des RFP
- Examiner et analyser les documents RFP/RFI afin d'identifier les exigences de soumission, les délais et les critères d'évaluation.
- Développer et maintenir un calendrier de projet clair, en veillant à ce que toutes les soumissions soient effectuées dans les délais.
- Coordonner les réunions de révision internes, les demandes de clarification et les processus d'approbation.
- Agir en tant que principal point de contact pour toutes les communications relatives aux propositions, tant en interne qu'en externe.
2.Développement et Rédaction des Propositions
- Préparer, rédiger et formater le contenu des propositions, en garantissant la clarté, l'exactitude et la conformité aux exigences du client.
- Collaborer avec les différents départements tels que : opérations, finances, TI, marketing, équipes juridiques afin de recueillir et synthétiser les informations nécessaires.
- Adapter les matériaux standard de l'entreprise pour répondre aux besoins et objectifs spécifiques de chaque opportunité.
- Réviser et relire les documents des propositions pour en assurer la qualité grammaticale, la cohérence et la présentation professionnelle.
3.Documentation et Conformité
- Veiller à ce que toutes les propositions respectent les exigences obligatoires et soient conformes aux spécifications du client.
- Maintenir des dossiers à jour des documents de l'entreprise, des réponses standard et des modèles de propositions.
- Gérer le contrôle des versions et la documentation appropriée de toutes les RFP soumises.
- Soutenir la collecte des certificats, documents d'assurance, références et autres documents de conformité nécessaires pour les soumissions.
4.Collaboration et Communication
- Assurer la liaison avec plusieurs départements internes pour coordonner les contributions et obtenir les approbations de la direction.
- Travailler en étroite collaboration avec l'équipe de design/marketing pour produire des documents de proposition visuellement attrayants et cohérents avec la marque.
- Communiquer régulièrement avec les responsables du développement des affaires pour aligner les stratégies de proposition avec les objectifs de l'entreprise.
- Maintenir une base de données des opportunités RFP et des résultats de soumissions, en suivant les taux de réussite et les leçons tirées.
- Identifier de nouvelles opportunités commerciales potentielles via des portails de soumissions et des réseaux d'approvisionnement.
5.Tâches Administratives et de Reporting
- Gérer les calendriers des propositions, les suivis de soumissions et les indicateurs de performance.
- Préparer des rapports internes résumant les activités des RFP, les analyses de gains/pertes et les recommandations d'amélioration.
- Soutenir les suivis post-soumission, y compris les demandes de clarifications ou de présentations.
- Contribuer à l'amélioration des outils, modèles et processus RFP pour accroître l'efficacité et la cohérence.
- QUALIFICATIONS
- Maîtrise de la suite Microsoft Office (Word, Excel, PowerPoint, Outlook) et d'Adobe Acrobat.
- Maîtrise de la gestion documentaire sur Microsoft Teams.
- Expérience avec des outils de design (Canva) est un atout.
- Bilinguisme (Anglais/Français) est un atout
