The Opportunity:

Reporting to the Chief Business Officer, the Proposal Coordinator will take ownership of Solvest's end-to-end proposal development process, with a focus on a variety of renewable construction RFPs and direct to client proposals, across Canada and Alaska. This role is ideal for a highly organized, detail-oriented professional who excels at responding to complex, multi-stakeholder proposal requests. They will be able to coordinate with subcontractors and turn tactical language into digestible information for clients in a sleek and professional manner. The ideal candidate is also eager to build scalable proposal processes from the ground up to further develop and streamline proposals for all potential projects moving forward.

In addition to proposal coordination, this position will lead the creation, upkeep, and continuous improvement of a Canada- and Alaska-wide funding mapping system. This includes researching, tracking, and organizing all available funding programs—First Nations, territorial, federal, and external—that support renewable energy and infrastructure development, their qualification criterion and eligibility periods. The coordinator will maintain a robust funding database, ensuring internal teams have visibility into funding opportunities for client projects.

This position is offered in-office out of Whitehorse, YT or Cobourg, ON or remotely from anywhere in Canada, reporting to our Whitehorse head office.

Employment Status: Permanent Full Time trialing a 4-day work week – 36 hours per week

Wage Range: $75,000 - $105,000 annually, based on experience

Who You Are:

You are an inherently organized, analytical, and proactive coordinator with at least 5 years of experience managing large-scale construction RFPs or similar. You thrive on process creation, work flow optimization, structure-building, and cross-team collaboration that exhibits company value add, proven history and capabilities. You are as comfortable independently leading proposal timelines as you are coordinating inputs from engineering, estimating, operations, and leadership.

You enjoy translating technical ideas into compelling narratives and ensuring every proposal meets compliance, with clarity, and high quality standards are met. You care deeply about accuracy, repeatable workflows, and creating tools that support organizational growth. You also bring curiosity and initiative to researching new RFP opportunities and funding pathways while constructing systems that help clients access the right opportunities.

Job Description::

Proposal Coordination & Development
• Manage the full lifecycle of RFP/RFQ submissions: intake, analysis, planning, content development, coordination, packaging, and submission

  • Interpret solicitation documents and create compliance matrices, response outlines, and project schedule
  • Lead proposal kick-off meetings, content development sessions, internal reviews, questions periods, and post-submission debriefs
  • Develop high-quality proposal content including technical sections, methodologies, management plans, project descriptions, and executive summaries
  • Coordinate inputs from internal and external subject matter experts across departments
  • Create and maintain proposal templates, tools, and content libraries (resumes, project sheets, boilerplate content)
  • Ensure all submissions meet formatting, branding, and quality standards
  • Manage version control and document organization
  • Identify and rate new bid opportunities include risk management and go/no-go recommendations
  • Support CRM or pipeline management related to incoming opportunities

Funding Mapping & Database Ownership
• Develop and maintain a comprehensive funding database for Canada and Alaska

  • Research funding programs (FN, territorial, federal, external) and track eligibility, deadlines, and program changes
  • Summarize funding requirements and communicate opportunities to internal teams
  • Prepare or support funding application materials when applicable (narratives, budgets, supporting documents)
  • Build tools (trackers, dashboards) that provide visibility into funding opportunities and cycles
  • Maintain ongoing communication with project leads and leadership regarding relevant funding windows

Business Development Support
• Collaborate with sales and project development teams to provide tailor fit direct to client proposals and presentations

  • Maintain marketing materials
  • Participate in sales meetings to triage support to the team
  • Maintain detailed notes from project debriefs to further improve systems

Required Skills / Qualifications::

  • Minimum 5 years of experience coordinating large construction RFPs (infrastructure, energy, utilities, or similar fields)
  • Strong technical writing, editing, and synthesis skills
  • Demonstrated ability to build workflows, processes, and organizational tools from scratch
  • Exceptional project management capabilities with comfort managing multiple simultaneous deadlines
  • Strong ability to interpret technical information, compliance requirements, and funding parameters
  • Proficiency with Google Workspace; proposal software, and ERP systems is an asset
  • Strong interpersonal and communication skills for coordinating across departments
  • Experience researching or working with grants, incentives, or funding programs is an asset
  • High attention to detail and a solutions-oriented mindset
  • Ability to work both independently and collaboratively
