Position Summary

The role of Executive Assistant to the Dean is to provide executive level administrative and operational support to the Dean and their office. Much of the work is confidential and/or sensitive in nature. The activities are varied and highly visible requiring a comprehensive, thorough understanding of the priorities and responsibilities of the Dean and the expectations of and the obligations of this Office to the University community.

The Executive Assistant supports the Dean by performing a wide range of tasks at the very highest level of professional standards and practices. The Executive Assistant must be proactive and anticipatory in utilizing sound judgement, professionalism, discretion and confidentiality.

The EA conducts confidential research as requested by the Dean and compiles summaries or briefs on issues like strategic planning, policy, labour relations, human resources issues including planning for work stoppages and maintaining contingency plans for core administrative services. The EA work closely with the Dean in short- and long-term planning and project initiatives related to the School's development.

The EA acts as a central contact between the Dean and other senior administrators, both internal and external to the University, including senior leaders from the Office of the President, the Provost, and the Vice-President of Human Resources and Equity. The EA will prioritize requests and action items, relay urgent information, and take action on the Dean's behalf when requested to do so.

The Executive Assistant to the Dean must keep abreast of all activities and situations in the School to knowledgeably support the Dean in the resolution of issues and bringing closure to all action items. They provide a coordinated point of contact for the Dean and the Office for all internal and external stakeholders providing assistance and direction via e-mail, telephone and in person. The Executive Assistant to the Dean must be able to respect confidentiality and work closely as a trusted confidante of the Dean.

This role is currently eligible for a hybrid work arrangement, pursuant to University polices and guidelines, including but limited to the University of Toronto's Alternative Work Arrangements Guideline. 

Minimum Qualifications
 
EDUCATION:

A Bachelor's degree or an equivalent combination of education and experience is necessary.
 
EXPERIENCE:

Minimum five (5) years of experience in a senior administrative role, preferably in an academic environment. Demonstrated experience handling matters of a confidential and sensitive nature. Knowledge of University of Toronto structure/network an asset.
 
SKILLS:

Strong planning and organizational skills; excellent communication skills both oral and written; strong editing skills; superior interpersonal skills; must have initiative; diplomacy and tact; ability to exercise sound judgment in prioritizing the work of the Dean, self and subordinates; able to maintain a high level of confidentiality, tact, and decisiveness while working under the pressure of constantly-changing priorities, unanticipated urgent demands, and multiple tasks and projects with competing deadlines; ability to supervise staff effectively; excellent computer skills (Word, Excel and PowerPoint); ability to analyze information and prepare documents within the parameters set out by the Dean; great attention to detail.
 
OTHER:

Proven effectiveness relating to all levels of the University – administration, instructors, staff, students, and external members of the community; knowledge of relevant of University policies.  Sensitivity, responsiveness; flexibility and ability to easily adapt to change; professional and proactive orientation; strong time management skills; ability to balance the competing demands of routine work with the special requirements of projects; ability to work under pressure in a dynamic, fast-paced environment; and ability to pay attention to detail and accuracy as well as maintain a broad perspective of the organization.
