Office & Warehouse Administrative Assistant (Accounting Background Preferred)

We are seeking a detail-oriented and highly organized Office & Warehouse Administrative Assistant to support the daily operations of our office and warehouse facility. The ideal candidate will have strong administrative skills, experience in logistics or warehousing, and a solid understanding of basic accounting procedures. Candidates with an accounting or bookkeeping background will be given preference.
Key Responsibilities
Office Administration
- Manage day-to-day office operations, including filing, organizing documents, and maintaining accurate records.
- Answer and direct phone calls, respond to emails, and coordinate communication between departments.
- Prepare documents, presentations, and reports for meetings.
- Manage calendars and schedule appointments for supervisors and management staff.
Warehouse & Logistics Support
- Provide administrative support to logistics, shipping, and transportation teams.
- Coordinate daily warehouse operations, including receiving, issuing, and dispatching stock.
- Prepare and verify documents for incoming and outgoing shipments, including customs clearance paperwork.
- Maintain accurate inventory records and perform regular data entry for all stock items.
- Liaise with freight companies, carriers, and warehouse customers to ensure timely and accurate communication.
- Assist with resolving customer service issues related to shipments, orders, and inventory.
Bookkeeping & Accounting Support
- Create and process invoices accurately and promptly.
- Assist with basic accounting procedures, including payment processing and account reconciliations.
- Maintain financial records and support month-end tasks as required.
- Work with QuickBooks to ensure accurate entry and tracking of financial data.
Job Type: Full-time
Pay: From $19.00 per hour
