Position Summary
The Dealership Accounting Administrator is responsible for supporting all accounting and financial operations within the dealership. This role requires strong attention to detail, accuracy, and the ability to manage multiple priorities. While previous dealership experience is an asset, candidates with solid accounting fundamentals and the ability to learn quickly are encouraged to apply.
Qualifications & Skills
- Strong AP/AR experience; dealership experience preferred but not required.
- Solid accounting background with the ability to learn dealership processes quickly.
- Experience posting vehicle deals, or a strong willingness to learn.
- Proficiency with PBS and ADP payroll is an asset.
- High attention to detail and accuracy.
- Strong organizational skills and ability to meet tight deadlines.
- Ability to work independently and communicate effectively.
Key Responsibilities
Deal Processing & Financial Reporting
- Post all vehicle deals in PBS accurately and in a timely manner.
- Support month-end close by reconciling deal counts, gross profits, and related schedules with Sales Managers.
- Maintain and reconcile the general ledger, subledgers, trial balance, and supporting schedules.
- Assist in the preparation of monthly financial statements.
Floor Plan & Banking
- Manage vehicle chattel / floor planning and monitor payment activity.
- Reconcile bank accounts and floor plan accounts monthly.
- Ensure payments are processed in accordance with dealership guidelines.
Accounts Payable & Accounts Receivable
- Process day-to-day AP/AR transactions and other accounting entries as required.
- Monitor outstanding payables/receivables and maintain accurate records.
Payroll & Commission Administration
- Prepare payroll-related items including commissions, taxable benefits, and other inputs.
- Support the payroll process in ADP.
- Prepare sales commission and chargeback reports.
Audit & Administrative Support
- Assist with year-end audits, reviews, and special projects.
- Maintain confidential employee files and support administrative tasks as needed.
