Overview

We are seeking a dependable, detail-oriented Administrative Coordinator to join our team. This role is ideal for someone who enjoys variety in their day, takes pride in staying organized, and is comfortable being both the first point of contact for clients and the backbone of daily office operations.

You'll support multiple departments—including administration, accounting, HR, and operations—playing an important role in keeping our office running smoothly. This position offers long-term growth potential for the right candidate who is eager to learn and contribute.

Responsibilities

  • Answer incoming phone calls and route them appropriately
  • Respond to client inquiries and assist with scheduling and coordination
  • Review time logs, invoices, and purchase orders for accuracy and completeness
  • Organize, maintain, and file office documents and records
  • Provide administrative support across accounting, HR, and operations
  • Assist with data entry, document preparation, and record management
  • Support day-to-day office functions and help improve internal processes

What We're Looking For

  • Strong organizational and communication skills
  • Friendly, professional, and confident when interacting with clients and team members
  • Excellent attention to detail with the ability to verify information accurately
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Experience with QuickBooks or similar accounting software is an asset but not mandatory
  • Previous administrative or office experience is preferred

This role requires a proactive individual with excellent communication skills, technical proficiency, and the ability to multitask in a fast-paced environment. The successful candidate will be instrumental in maintaining organizational efficiency while delivering outstanding support to clients and team members alike.

Work Schedule & Location

* In-office position (no remote work)

* Monday to Friday | 8:00 AM – 12:00 PM
