Working on-site in our Ottawa office.

Business hours: 8:00am - 5:00pm

Salary Range: $50,000-$55,000

Responsibilities:

  • Assist in tracking open work orders to ensure timely completion and billing.
  • Help maintain accurate service records in internal systems.
  • Support performance goals by helping meet closure and billing timelines.
  • Monitor daily service tasks and flag potential delays to senior staff.
  • Assist with scheduling and coordinating technician assignments.
  • Support dispatching by providing technicians with job details and updates.
  • Respond to customer inquiries and escalate complex issues when needed.
  • Enter service call and customer data into internal systems.
  • Assist with issuing purchase orders and coordinating with suppliers.
  • Perform other duties as assigned based on workload demands and branch needs

Required Skills and Experience:

  • 1–2 years of experience in an administrative, service support, or coordination role
  • Post-secondary education, preferably in business administration, operations, or a related field.
  • A technically inclined mindset:
  • Strong verbal and written communication skills in English.
  • Comfortable using computer systems and software tools.
  • Proactive, detail-oriented, and able to work independently while taking directions from senior team members.
  • Familiarity with HVAC or other technical services is a plus.
