We are a fast-paced, client-focused real estate office specializing in multi-residential sales. Our team values professionalism, strong communication, accuracy, and a proactive team player. We are looking for a motivated Entry-Level Real Estate Office Administrator who is eager to learn, grow, and support our agents and clients.

Position Overview

The Office Administrator is the first point of contact for clients. This role supports daily office operations, document preparation, listing/transaction coordination, and general administrative duties.

Key Responsibilities

  • Greet clients and visitors; answer phone calls and emails with professionalism and courtesy
  • Prepare and organize real estate documents (agreements, listings, offers, amendments, etc.)
  • Data entry into CRM, MLS, and internal systems
  • Assist with scheduling showings, inspections, and appointments
  • Maintain office organization — filing, supplies, signage, lockboxes, keys
  • Support agents with administrative tasks, marketing materials, and listing packages
  • Light bookkeeping duties (invoices, receipts, deposits)
  • Upload listings, photos, and documents to TRREB/MLS (training provided)
  • Handle confidential information with discretion
  • Other administrative duties as required to support daily office operations

Qualifications

  • Strong communication skills (written & verbal)
  • Excellent organization, time-management, and attention to detail
  • Comfortable learning new software and systems
  • Professional, positive, and customer-service focused
  • Ability to multitask in a fast-paced environment
  • Proficient with Microsoft Office (Word, Excel, Outlook)
  • Experience with CRM systems & Canva is an asset, but not required
  • Must be reliable, punctual, and able to work on-site

Schedule & Compensation

  • Full-time, Monday to Friday
  • $24–$28 per hour depending on experience
