Real Estate Administrative Assistant

Are you an experienced and detail-oriented Real Estate Administrative Assistant looking to join a dynamic, fast-paced brokerage? We're seeking a highly organized professional with strong multi-tasking skills and a passion for delivering exceptional support to our agents and clients.
**Key Responsibilities**:
- **Transaction Coordination**: Prepare offers and all related documentation for both residential and commercial properties. Finalize all trading activities and ensure accuracy in all paperwork.
- **Listing Management**: Enter and manage MLS listings using Realm, including uploading photos and processing price changes, extensions, and status updates.
- **Documentation Review**: Examine proposals, listing documents, and supporting materials for completeness and compliance. Liaise with agents and partner brokerages to verify and obtain accurate documentation.
- **Data Entry & Reporting**: Input all agent transactions into internal systems. Compile and maintain reports on listing inventory, sales activity, and transaction pipelines.
- **Client & Agent Support**: Manage front-desk responsibilities including answering calls, confirming appointments, and greeting clients and visitors.
**Qualifications**:
- Minimum of 3 years of experience in a real estate administrative role
- In-depth knowledge of real estate platforms including Back Office, Realm/Stratus, Transaction Desk, BrokerBay, and Office 365
- Proficient in Canva for creating marketing and presentation materials
- Strong organizational, time management, and communication skills
- Ability to work efficiently in a high-volume, fast-paced environment and manage multiple priorities
- Exceptional attention to detail, self-motivated, and committed to maintaining professionalism and discretion
- Excellent customer service skills with a positive, solutions-focused attitude
