Job Overview

This role is ideal for an experienced administrative professional who is organized, detail oriented, and enjoys working in a creative environment. l You will play a key role in ensuring smooth communication between the design team, clients, suppliers, and accounting

Responsibilities

  • Act as liaison between the design team and suppliers, ensuring clear communication and timely follow-ups
  • Manage accounts receivable and payable, including invoicing and reconciling payments
  • Prepare and track purchase orders and client contracts
  • Follow up on product and material orders, updating status reports and delivery timelines.
  • Direct communication and coordination with delivery companies ensuring items are received, prepared and delivered.
  • Maintain accurate records and provide weekly updates to company CFO
  • Manage and restock office library, office supplies and ensure smooth daily office and library operations.
  • Communicate professionally with clients and vendors
  • Welcome clients and suppliers for meetings - including assisting design team for meeting preparation
  • General administrative tasks

Skills

  • Minimum 5 years of experience in an administrative role
  • Strong organization and time management skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office
  • Experience with Quickbooks is an asset
  • Ability to prioritize tasks and manage multiple responsibilities with minimal supervision
  • Valid drivers license and vehicle required.

Job Types: Permanent, Part-time

Pay: $24.00-$26.00 per hour
