Job Description
The primary role of an Administrative Assistant is to provide high-level administrative support by conducting research, handling information requests, and performing clerical functions. The position requires acting as an information and communication manager for an office, ensuring smooth office operations.
Responsibilities
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Prepare invoices, reports, memos, letters, financial statements, and other documents.
- File and retrieve corporate documents, records, and reports.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Prepare agendas and make arrangements for committee, board, and other meetings.
Essential Skills
- Excellent verbal and written communication skills.
- Strong multi-tasking, customer service, and interpersonal skills.
- Ability to work independently and manage time effectively.
- Capability to organize and maintain confidentiality of information.
- Basic mentoring skills to provide support and constructive performance feedback.
- Proficiency in computer applications such as Microsoft Word, Excel, and Outlook.
- High school diploma or GED required.
- MS Excel & SAP experience.
- 3 years of experience in administration or office assistance.
Additional Skills & Qualifications
- Post-secondary education required.
- Experience working with executives.
- Experience as a Contract Specialist.
- Experience in the dealership or automotive industry.
Work Environment
The role reports within the dealer network, involving work with contracts between the company and the dealer body. Responsibilities include supporting calendar management and handling expense reports. Team interactions include bi-weekly full team virtual huddles and participation in team-building events. The role is part of a field team with limited in-office presence, as team members often visit dealers. This is a hybrid position, requiring three days onsite (with flexibility on which days) in Oshawa and two days from home. Standard working hours are Monday to Friday, 8:30 AM to 5:00 PM.

Pay and BenefitsThe pay range for this position is $ $26.00/hr.
