Position Overview
Position Type: Part-Time (20–25 hours per week)
Start Date: November 17, 2025
We are seeking a dependable, organized, and personable Administrative / Reception professional to join our front-desk team. As the first point of contact for patients, you will play an important role in creating a positive clinic experience while providing vital administrative support to our practitioners and management team.
Key Responsibilities
- Welcome and check in clients in a warm and professional manner
- Answer phone calls and respond to emails with care and efficiency
- Manage scheduling and appointment confirmations using clinic software
- Process payments, manage insurance claims, and ensure accurate billing
- Support practitioners with documentation, filing, and daily operations
- Assist in sanitizing treatment rooms between appointments to maintain a clean and safe environment
- Maintain a clean, organized, and inviting reception area
- Assist with inventory, supplies, and general office coordination
Qualifications
- Previous experience in a clinic, health care, or customer service environment preferred 5+years
- Excellent communication, organization, and multitasking skills
- Proficiency with scheduling and billing software (Jane App experience an asset)
- Positive, professional attitude and attention to detail
- Ability to safely navigate stairs, as the clinic is a multi-level facility
- CPR/First Aid certification considered an asset
