We are seeking a reliable, organized, and customer-focused Auto Shop Secretary/Office Receptionist to support the daily operations of our automotive repair facility. This role is essential to maintaining efficient office workflow, providing excellent customer service to clients, and supporting bookkeeping, marketing, and administrative functions. The ideal candidate is detail-oriented, proactive, comfortable multitasking in a fast-paced shop environment, and willing to assist with maintaining a clean and professional office space.
Responsibilities
- Greet customers and vendors in person and by phone, creating a welcoming and professional first impression
- Manage a multi-line phone system, screen calls, take messages, and route inquiries appropriately
- Schedule customer appointments, manage calendars, and coordinate with shop staff
- Perform accurate data entry, invoicing, and recordkeeping using QuickBooks and Microsoft Office applications
- Handle basic bookkeeping duties, including accounts receivable/payable, daily logs, and general office financial tracking
- Create and manage advertisements, promotions, and basic marketing materials for the auto shop (print, online, and social media as needed)
- Prepare correspondence, estimates, invoices, and other shop-related documentation
- Maintain organized filing systems (digital and physical) and ensure accuracy of records through proofreading
- Provide customer support via phone, email, and in person, addressing questions regarding services, scheduling, and billing
- Assist with general clerical duties such as copying, scanning, and document preparation
- Maintain cleanliness and organization of the office and reception area, including sweeping, tidying, and light cleaning as needed
- Run occasional errands or assist with vehicle-related tasks as required
Qualifications
- Proven experience in an office administration, receptionist, or clerical role; experience in an auto shop or similar service-based business is strongly preferred
- Valid driver's license required
- Proficiency in QuickBooks and general bookkeeping practices
- Strong working knowledge of Microsoft Word and Excel
- Experience creating ads, promotions, or basic marketing materials
- Strong computer skills with the ability to learn shop management software quickly
- Excellent organizational skills with strong attention to detail
- Professional communication skills, including customer service and phone etiquette
- Ability to multitask and prioritize responsibilities in a busy environment
- Comfortable working independently and as part of a team
- High school diploma or equivalent required; additional administrative or bookkeeping training is a plus
This position plays a key role in keeping the office running smoothly while supporting shop operations, customer satisfaction, and business growth.
Job Type: Permanent
Pay: $17.51-$23.09 per hour
Expected hours: 35 per week
Work Location: In person
