**Job Overview**

**Key Responsibilities**
- Handle all incoming and outgoing correspondence, ensuring timely and accurate communication in both English and Spanish.
- Maintain and organize files, records, and documents—both physical and digital.
- Schedule meetings, appointments, and maintain calendars for executives or department staff.
- Assist with data entry, invoice processing, and light bookkeeping tasks under the guidance of the accounting team.
- Support in the preparation, proofreading, and filing of legal or contractual documents.
- Order and maintain office supplies; ensure the front desk and common areas are organized and welcoming.
- Translate basic documents and conversations as needed between English and Spanish.
- Coordinate incoming/outgoing mail, deliveries, and courier services.
- Maintain confidentiality with sensitive company, legal, and client information.

**Required Skills & Qualifications**
- **Fluency in English and Spanish** (spoken and written).
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Basic understanding of accounting principles or willingness to learn (e.g., invoicing, expense tracking).
- Familiarity or interest in legal documents (e.g., contracts, affidavits, compliance paperwork).
- Professional demeanor and strong customer service skills.
- High level of discretion and integrity when handling confidential information.
- Ability to work independently and collaboratively as part of a team.

**Preferred Experience**
- Previous experience in a receptionist, secretary, or administrative support role (1-3 years preferred).
- Experience in environments involving basic accounting, bookkeeping, or legal administration.
- Experience using office management tools, or accounting software (e.g., QuickBooks) is a plus.
- Prior work in a bilingual environment (English/Spanish) or with Spanish-speaking clients.
