Overview

We are seeking a friendly, organized, and customer-focused Client Service Professional (Intake Coordinator) to support our tax preparation team during the busy tax season. This role is the first point of contact for clients and is essential to maintaining an efficient, professional, and welcoming office environment.

The ideal candidate excels in customer service, thrives in a fast-paced setting, and is comfortable working with digital tools and administrative workflows.

Key Responsibilities

1. Client Greeting & Intake

  • Welcome clients in a warm, professional manner upon arrival.
  • Guide clients through the intake process and ensure all required documents are collected.
  • Assist clients in completing forms and organizing their information.
  • Direct clients to tax professionals based on appointment or walk-in flow.

2. Scheduling & Appointment Coordination

  • Manage appointment bookings and update schedules daily.
  • Confirm upcoming appointments and handle rescheduling requests.
  • Coordinate client flow to minimize wait times and maintain smooth office operations.

3. Administrative Support

  • Maintain accurate digital and physical client records.
  • Scan, upload, and organize documents within internal systems.
  • Ensure tax professionals have all necessary information for file preparation.
  • Handle payment processing and issue receipts as required.

4. Customer Service & Communication

  • Respond to client inquiries by phone, email, and in person.
  • Provide clear explanations of general services, pricing, and required documentation.
  • Resolve basic issues or direct clients to appropriate team members.
  • Maintain a high level of professionalism and confidentiality at all times.

5. Office Organization & Workflow Support

  • Keep the reception area tidy, organized, and client-ready.
  • Monitor office supplies and support operational needs.
  • Assist in managing daily workflow logs and internal communication.
  • Support the tax team with administrative tasks during peak times.

Qualifications & Experience

Required

  • Strong customer service experience in a retail, office, or service environment.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to manage multiple tasks.
  • Comfort using computers, office software, and digital tools.
  • Ability to work in a fast-paced, deadline-driven environment during tax season.

Preferred

  • Experience in an administrative, reception, or front-desk role.
  • Familiarity with financial documents (T4, RRSP slips, receipts) is helpful but not required.
  • Experience with scheduling or CRM systems.

Job Type: Seasonal

Contract length: 4 months

Pay: $17.60-$25.00 per hour

Expected hours: 20 – 40 per week
