Job Summary

We are seeking a detail-oriented and organized person to join our team. The ideal candidate will be responsible for maintaining accurate financial records, managing accounts payable and receivable as well as assisting with various administrative duties such as office correspondence, maintaining files and creating quotes and contracts. This role requires proficiency in QuickBooks, Excel, Word and Outlook or Gmail.

Responsibilities

  • Maintain accurate records of all financial transactions.
  • Manage accounts payable and receivable including processing invoices, issuing payments to vendors and generating invoices for customers.
  • Perform bank reconciliations - matching bank and credit card statements against the QuickBooks entries to ensure accuracy
  • Execute journal entries and maintain the general ledger to reflect all financial activities.
  • Assist in the preparation of financial reports, including profit and loss statements, balance sheets, and cash flow statements.
  • Utilize QuickBooks and Excel for efficient bookkeeping operations.
  • Support payroll processing and ensure accurate recording of payroll transactions.
  • Administrative responsibilities:
  • Handling correspondence such as responding to emails and handling general inquiries.
  • Preparing customer quotations and contracts
  • Maintaining the physical and digital filing systems
  • Co-ordinating meetings in person and on zoom
  • Providing general support such as office supply ordering and other administrative tasks as needed

Skills

  • Proficient in QuickBooks, Excel, Word, and Outlook or Gmail
  • Knowledge of public accounting standards and governmental accounting regulations is a plus.
  • Familiarity with double entry bookkeeping, debits & credits, and journal entries.
  • Ability to perform account reconciliation and maintain accurate financial records.
  • Strong attention to detail.
