The Opportunity
The Receptionist is responsible for presenting a first impression of the organization to clients and customers, answering incoming calls and executing outgoing courier requests in a professional and timely manner.
Primary Duties And Responsibilities
- Answer and transfer incoming calls to appropriate personnel in a professional, pleasant and courteous manner
- Greet clients and/or customers and welcome new hires
- Execute all outgoing courier services
- Maintain courier tracking system
- Schedule boardroom bookings electronically
- Distribute faxes through a portal
- Provide department support – open, stamp and sort insurance policies, open final documentation reports
- Provide general administrative and clerical support
- Assist with general appearance of the office, ensure maintenance of a well-kept and professional looking reception area
- Report building maintenance issues
- Comply with office privacy
- Adhere to policies/procedures to ensure AML requirements are met, when applicable
Skills And Attributes
- Experience working in a fast paced, structured and team based environment
- Ability to work independently
- Ability to sit for extended periods of time
- Proven ability to adapt to fluctuating work volumes
- Ability to perform light physical tasks (i.e. bending, reaching, pushing, lifting and for short distances)
Education/Certification/Experience Requirements
- Post-secondary education and/or equivalent work experience preferred
- Previous office experience required
- Proficient with computers and relevant software applications
- Knowledge of administrative and clerical procedures
- Knowledge of customer service principles and practices
Working Environment And Physical Demands Analysis
- Office environment
- Periods of high volume with tight timelines
- Long periods of stationary position/sitting
- Prolonged periods of repetitive movement (i.e. using a keyboard and mouse)
- Long periods of time in viewing a computer screen
- Multi-tasking may include speaking to customers on a telephone call while looking up information on a computer program.
