Reports To: Controller Status: Permanent Full-time Start Date: December 2, 2025 Salary Range: $45,000 to $52,000

Position Summary:
Our Receptionist & Administrative Services acts as the first point of contact for employees, visitors and patrons. The incumbent will provide professional front-desk service, administrative support, and ensure the efficient daily operations of the office.
Major Duties and Responsibilities:
Front Desk & Customer Service
- Greet and welcome visitors in a friendly, professional manner
- Answer, screen, and direct incoming phone calls promptly and courteously
- Maintain a professional and organized reception area
- Receive, sort, and distribute incoming mail, packages, and deliveries
- Coordinate outgoing mail and courier services
Administrative Support
- Manage petty cash: handle disbursements, reconcile reports, and submit to Accounts Payable quarterly
- Reconcile the company's corporate credit card monthly and submit expense reports with receipts to Accounts Payable
- Track, log, and scan all donation cheques (TSO & TSF), mail TSF cheques to custodian
- Verify PS-processed Tessitura batches against cheques and cash received from patrons
- Track, log, and scan ticketing-related cheques and cash and forward to proper departments
- Prepare and mail A/P cheques and remittance advice to vendors
- Assist with onboarding new employees (e.g., prepare access cards, order business cards and prepare desk area and office signage).
- Maintain and update company contact lists and office directories
- Provide administrative support for company events and meetings, including:
- Ordering food and beverages
- Setting up and cleaning up meeting spaces
- Copying, scanning, and preparing materials
- Provide general administrative support to staff and other departments as needed
Office Coordination
- Monitor and replenish office and kitchen supplies; place service calls as required
- Submit service requests to property management for office repairs and maintenance
- Arrange document shredding services as needed
- Arrange document storage for all departments as required
- Maintain kitchen equipment (e.g., clean refrigerator, load/unload dishwasher, refill coffee machine, place service calls)
Additional Scope of Responsibility:
- Provides front-line support to staff, patrons, and external parties
- Ensures smooth daily office operations and professional communication
- Assists all departments with administrative and clerical support
- Handles confidential information with discretion
- Offers basic guidance to new employees, temporary staff, and volunteers on office processes
- Contributes to the organization's professional image through courteous and efficient service
- Other duties as assigned.
Experience & Qualifications:
- Post-secondary education (or equivalent combination of education and experience)
- Minimum 3–5 years of experience in a receptionist and administrative support role
- Previous experience in office coordination or facilities management is an asset
- Proficiency with MS Office Suite (Word, Excel) with 3 to 5 years work experience, knowledge of Google Suite and standard office equipment
- Strong organizational and multitasking skills with attention to detail
- Excellent interpersonal and communication skills, both written and verbal
