Mailroom and Office Support Specialist (Maternity Leave)

Location: Markham, ON

Start Date: Must be available to train Dec 22 - Dec

Hours: Monday - Friday 8:30 am - 1:30 pm (25 hours/week)

Are you an organized, independent worker looking for a hands-on role in office support? Our client in the commercial lighting space is seeking a Mailroom and Office Support Specialist for a Maternity Leave contract position in Markham, ON.

Key Responsibilities:

Mailroom Operations

  • Receive, sort, and distribute mail from Canada Post.
  • Handle sensitive and confidential documents for Legal and HR departments.
  • Manage postage meter operations for outgoing mail and parcels.
  • Process and route cheques to the appropriate lock box (Canada or US).

Courier Services

  • Receive, sort, and dispatch courier packages.
  • Prepare and manage outgoing shipments, including confidential materials and IT equipment.
  • Coordinate sales sample shipments for marketing teams.

Security & Visitor Management

  • Create and manage security access cards.
  • Verify and welcome visitors to the office.
  • Escort guests and ensure workplace security measures are followed.

New Employee Support

  • Assist with onboarding new employees, including laptop distribution.
  • Introduce new team members to the office and workplace procedures.

Office Facilities & Coffee Management

  • Maintain coffee machine cleanliness and order necessary supplies.
  • Ensure copiers are stocked and ready for use.
  • Address general office concerns, including cleaning requests and troubleshooting issues.

What We're Looking For:

  • Ability to work independently with minimal supervision.
  • Strong organizational skills and attention to detail.
  • Experience handling confidential materials.
  • Comfortable multitasking and supporting various office functions.
  • Previous experience in office support, mailroom services, or administration is a plus
