Job Type: Full-time

Expected Hours: 35–40 hours per week

Starting Pay: From $18.50 per hour ($20 an hour after probation)

Overview

Body First Wellness Centre is a multidisciplinary clinic dedicated to promoting health and wellness through personalized rehabilitative and fitness services. With two locations in Scarborough and North York, we are currently seeking a motivated, compassionate, and detail-oriented Patient Care Coordinator to join our growing team.

In this vital role, you will work collaboratively with front desk , healthcare practitioners, and management to ensure seamless clinic operations and a positive patient experience. Responsibilities include managing appointment bookings, handling billing and insurance claims, and maintaining a clean and welcoming clinic environment.

Key Responsibilities

Clinic & Client Administration

• Maintain and organize patient records with a high level of accuracy and confidentiality
• Regularly update and review client files
• Ensure timely completion of electronic intake and consent forms (JaneApp)

Customer Service

• Greet and assist clients with a warm, professional attitude
• Book and rebook appointments in alignment with patient treatment plans
• Handle inbound and outbound calls to manage inquiries, appointments, and follow-ups
• Promote clinic services and encourage positive online reviews to support reputation management

Scheduling & Administrative Support

• Efficiently schedule appointments and update patient records
• Ensure daily documentation is completed accurately for both new and returning clients
• Support clinic operations by preparing treatment rooms and maintaining supplies
• Open and close the clinic (availability required for both opening and closing shifts)

Billing & Insurance

• Process insurance claims and verify client coverage
• Address and resolve billing inquiries professionally
• Generate and reconcile daily financial reports
• Ensure all transactions are processed and closed in the system at the end of each shift

Clinic Maintenance

• Maintain cleanliness and organization in reception, treatment rooms, and shared spaces
• Wash, fold, and stock towels and linens as needed for practitioners
• Coordinate with the team to ensure smooth daily operations

Marketing Support

• Assist with in-clinic promotions and marketing initiatives
• Encourage patients to leave feedback and reviews online

Hours & Compensation

• Training Hours: 15–20 hours/week for the first two weeks
• Post-Training: Up to 35–40 hours/week based on clinic needs
• Training Pay: $18.50/hour
• Post-Probation Pay: $20.00/hour (after 3-month probationary period)
• Eligibility for Extended Health Care (EHC) benefits after 3 months
• Potential for a pay increase following the probationary period

Requirements

• Weekend availability is required
• Must be able to arrive 1 hour before opening or stay until clinic closing (as scheduled,
• must be at the clinic as early as 8:15am some days and closing shift, up to 8:30pm to 9:00pm)
• Only qualified candidates will be contacted for interviews

Qualifications

• Education: Secondary School Diploma (preferred)
• Experience:
• 1 year of experience as a Medical Administrative Assistant (preferred)
• Customer Service Skills
• Experience with JaneApp is an asset
• Experience with MVA and WSIB intake and billing is an asset
• Strong organizational and communication skills
• Friendly, empathetic, and able to multitask in a busy environment
