Patient Care Coordinator (Physiotherapy & Rehab Clinic)

We are looking for an outgoing, organized, and motivated Patient Care Coordinator to join our fast-growing physiotherapy and rehab clinic.

About the Role

As our Patient Care Coordinator, you are the heart of the clinic. You will manage the patient experience from start to finish—helping patients book their care plan, following up on progress, keeping our therapists' schedules full, and ensuring every visit is smooth and welcoming.

You'll also support clinic growth by managing leads, reactivating past patients, encouraging referrals, and helping patients complete their recommended treatment plans.

What You'll Do

  • Welcome patients with a positive, enthusiastic attitude
  • Manage appointments and keep therapist schedules maximized
  • Rebook patients and support full treatment plan completion
  • Follow up with new leads and convert them into booked appointments
  • Reactivate past patients with friendly outreach
  • Encourage patients to refer friends and family
  • Support cross-referrals between services (physio, chiro, massage, acupuncture)
  • Handle billing, payments, insurance claims, and admin tasks
  • Keep the clinic organized, efficient, and patient-centered

Who You Are

  • Outgoing, friendly, and energized by helping people
  • Organized, detail-oriented, and able to manage a fast-paced front desk
  • Independent and accountable—someone who takes initiative
  • Strong communicator with excellent customer service skills
  • Comfortable with sales-style conversations (educating on treatment plans, promoting rebooking, etc.)
  • Goal-oriented and motivated to support clinic growth
  • Experience in healthcare, physiotherapy, chiropractic, rehab, or similar is an asset
